Job Summary:
- Coordinate all office responsibilities for the branch.
- Answer customer phone calls and receive customer emails relating to customer orders and delivery inquiries.
- Enter all customer related transactions into Chempax. This would include adding items to customer file, orders and consignment billings.
- Prepare excel based consignment inventory count sheets.
- Prepare and process credit card payments.
- Maintain customer order files and accounts payable vendor files.
- File sales orders, A/P and Freight documents
- Work with vendors on pricing discrepancies
- Involved with sales team on returned goods from product discrepancies.
- Create purchase orders and enter receipts for customer drop ship orders.
- Provide general HR, payroll, and benefit support
- Order raw materials and maintain proper inventory levels
- Work with purchasing on receiving, pricing, and invoicing
- On vendor invoices - approve, code and submit invoices to Corporate A/P
- Receptionist including answering the phone and reviewing the incoming US mail.
- Enter Chempax (ERP Data) data as required
- Coordinate/assist various activities/events
- Provide administrative assistance to branch management
Job Requirements:
- 1 year administrative experience
- High School Diploma or equivalent
- Chempax (ERP) systems experience
- Proficient in MS Office (Excel, Word, PowerPoint)
- Multi-task & attention to detail
- FedEx shipping knowledge
- Good verbal and written communication skills
Job Type: Part-time
Pay: $17.00 - $18.50 per hour
Expected hours: 24 per week
