We are currently seeking an experienced, passionate, motivated Front Desk Coordinator at our Medical Spa, The Beauty Method, located in Glendale, Arizona. Candidates must have a passion for the beauty industry, customer service, skincare and sales.
Position Overview:
The Front Desk Coordinator at The Beauty Method is responsible for the reception area at the spa. This includes the greeting of all guests, answering phone calls, assisting guests with questions regarding spa services and products, booking all appointments, checking the guest into the computer system and charging for services performed. You must possess excellent communication and customer service skills and be able to learn the products and service knowledge necessary to effectively educate our guests on our service menu.
Duties and Responsibilities:
- Arrive promptly for shift.
- Ensure the smooth, effective operation of the front desk, retail area and spa.
- Oversee guest check-in and check-out, closing of sales, rebooking appointments, and other administrative tasks.
- Maintain appointment book and maintain optimally efficient scheduling.
- Implement a healthy, effective level of communication between all staff.
- Acknowledge and cheerfully greet all spa guests upon their arrival and departure.
- Answer the front desk phone promptly.
- Be well versed and actively promote the treatments, packages, services, products, facility features, special programs, promotions and hours of operation.
- Open and/or close the spa daily.
- Utilize the spa computer and register with the necessary proficiency.
- Handle guests’ questions, concerns and occasional complaints with courtesy and professionalism.
- Keep open communication regarding guests and staff.
- Keep community and work area clean and organized.
- Have full knowledge of retail products, along with enthusiasm about promoting their sale.
- Regularly attend, participate in and support training and staff meetings for the spa.
- Work independently and assist in all areas of spa operation as requested by upper management.
- Comply with the spa-initiated standards of dress and personal grooming while on duty.
Position Requirements:
- Must have enthusiasm and possess excellent customer service skills.
- Enjoy working with people and possess a friendly and outgoing personality.
- Excellent communication and listening skills, as well as basic computer knowledge.
- Must be a team player.
- Strong social media skills.
Preferred Knowledge/Qualifications:
- Retail Sales experience preferably in beauty industry, spa or salon
- Computer literate with Windows, Excel and spa software
- Detail-oriented, with the ability to multi-task
- Must be able to be productive and efficient in a fast-paced environment
- Excellent customer service skills—enthusiasm, friendliness, diplomacy
- Excellent communication, listening and computer skills
- Willingness to take on responsibility and embrace new challenges
- A demeanor that is approachable and confident
- Must possess basic math and money handling skills.
