MA/Office Administrator
The MA/Office Administrator will perform a combination of various administrative and clinical tasks while displaying strong customer service skills and role modeling HPM’s Values and Behaviors. This dual-role position is integral to the operational efficiency in our clinic to ensure a seamless patient experience.
DUTIES & RESPONSIBILITIES:
- Role model and live the company values and behaviors. Know the company vision, mission, and objectives and continually communicate and reinforce these to Team Members.
- Greet patients and visitors with a warm and professional demeanor.
- Ensure high level customer service with all patient interactions.
- Schedule patient appointments and manage the clinic calendar.
- Handle patient registration and check-in/check-out processes.
- Verify eligibility with insurance and determine patient financial responsibility.
- Ensure payment for services is received at the time of service.
- Process billing and insurance claims.
- Maintain accurate patient records and ensure confidentiality of information.
- Manage office supplies and inventory to ensure clinical efficiency.
- Coordinate with external medical facilities and specialists as needed.
- Take and record patient vital signs and medical histories.
- Assist providers with examinations and in-office procedures.
- Provide patient education and support regarding treatment plans and procedures.
- Maintain clean and organized clinical areas.
- Assist with collection of Net Promoter Score.
- Serve and protect the practice by adhering to professional standards; facility policies and procedures; and federal, state, and local requirements.
- Perform other duties, as assigned.

MINIMUM QUALIFICATIONS:
The following are expected of the MA/Office Administrator:
- Ability to act with integrity, professionalism, and confidentiality at all times.
- Proficient in EMR systems and Microsoft Office suite.
- Knowledgeable about various procedures and tests to properly answer patient questions.
- Demonstrate consistent professional conduct and meticulous attention to detail.
- Must possess excellent verbal and written communication skills.
- Demonstrate critical thinking skills and a positive attitude.
- Possess strong customer service skills.
- Must work well independently and with a team.
- Ability to multitask and work efficiently in a fast-paced environment.
- Proficient with Microsoft Office Suite or related software.
- Able to work in the office during regular business working hours.
- Legally authorized to work in the United States.
- Successfully pass a 7-year background check and drug test.
EXPERIENCE: Certified Medical Assistant (CMA) or Registered Medical Assistant (RMA) preferred. Minimum two years’ experience in a clinic or healthcare setting; experience with scheduling for a large healthcare group; experience with Availity, preferred; experience with multiple EMR systems, preferred.
EDUCATION: High School diploma – required. Associate degree, preferred.
EEO/OSHA/ADA: Able to manipulate and use CRT/screens, keyboards, mouse/pointing devices, etc., associated with contemporary computers. Able to sit or stand for extended periods of time. Must be able to lift 15 pounds at times. Some travel required.
Job Type: Full-time
Pay: $20.00 - $23.00 per hour
Expected hours: 40 – 45 per week
