SUMMARY
Coordinates the daily administrative functions of the Medical Office and Administration. Works closely to streamline processes and communication with Assisted Living Nursing Department.
PRIMARY FUNCTIONS
· Provide direct administrative support to Tradition Administration and the Medical Office; calendar management, routing inquiries, clerical tasks, physician correspondence, etc
· Manage, analyze, and resolve various compliance processes and reports
· Administratively manage office needs; supplies, tech support; maintenance requests, filing, etc
· Assist in taking vitals and preparing patients for appointments
· Provide administrative support and required reporting during state audits or as needed per regulatory guidelines and internal practices
· Prepare AHCA reporting as needed
· Answer and address phone calls promptly, including responding to voicemails with professionalism, hospitality, and excellent verbiage
· Provide families with needed follow up on scheduling, referrals, and concerns
· Process and track purchase orders to ensure budgetary compliance; composes and prepares invoices, reports
· Maintains medical records in accordance with regulatory guidelines and MorseLife policies
· Prepare daily schedules and help manage clinic communication with Assisted Living
· Maintains medical records and resident file storage for housing. Corresponds with offsite storage and tracks documents including coordinating long term care insurance documentation requests
SUPERVISORY RESPONSIBILITIES
This position does not have supervisory responsibilities.
QUALIFICATIONS (ED·UCATION and/or EXPERIENCE)
Medical Assistant and/or Associates Degree (A.A.) or equivalent from two-year College or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.
LANGUAGE SKILLS:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
REASONING ABILITY:
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

WORK ENVIRONMENT:
While performing the duties of this job, the employee is frequently exposed to fumes or airborne particles and toxic or caustic chemicals. The employee is occasionally exposed to wet and/or humid conditions, moving mechanical parts, risk of electrical shock, and risk of radiation. The noise level in the work environment is usually moderate.
