To oversee the overall day-to-day operation of Park Lane Place, ensuring the highest level of resident satisfaction and to ensure compliance with Park Lane Place governing documents and all relevant state, county and city regulations, ordinances and building codes.
GENERAL RESPONSIBILITIES
§ Those duties assigned by the Association or its Managing Agent.
§ Contract Management - Monitor performance of contractors engaged by the Association to ensure conformance with approved scope of work, responsibilities and duties. Coordinate with vendors for service proposal requests as directed and schedule approved contracted work accordingly.
§ Building Maintenance - Prepare and perform preventive maintenance schedule. Perform routine inspection of common element components. Take necessary measures to troubleshoot identified problems. Report details to all identified problems that require professional services / repairs to management/Board of Directors.
§ Janitorial - Maintain high state of cleanliness of common areas, to include hallways, walkways, driveways, lobby, stairwells, building entry, recreational areas, laundry room, bicycle room, parking garage and exterior parking stalls. Monitor trash disposal and pick up.
§ Record Keeping - Maintain all on-site Association records, to include key/access control, names of residents and contact information, Association property inventories, fire and other emergency evacuations plans, service schedules and petty cash / credit card purchases.
§ Accounting - Forward all received invoices, service proposals and assessment payments promptly to management.
§ Communication - Prepare bi-monthly report of on-site activities and submit no less than 3 days prior to bi-monthly Board meeting for review by the Board. Keep Homeowners informed of all building activities, to include maintenance and service schedules by way of preparing and posting notices or by sending email communication. Handle disputes by following appropriate protocol outlined by the Association.
§ Move ins/outs & Deliveries - Administer the padding of the elevators and/or any other means to prevent the damage of common elements during move-ins/outs and deliveries, and ensure that all requirements (fees, lease copies, etc. as required by the Rules) are complied with prior to move-ins/outs. Ensure that all applicable Rules & Regulations are complied with. Handle initial warning communication directly with the resident(s) involved. Report additional violations and/or damages to management.
§ Other/Misc. - Monitor access keys (fobs) and openers. Coordinate programming phone data into entry call system. Perform all other relevant duties as directed by management and/or the Board of Directors.
REQUIRED SKILL SET
§ Ability to work with minimal supervision.
§ Present a professional and friendly appearance to residents, guests, potential owners, and real estate agents. Must be neat and well-groomed in appearance.
§ Excellent communication, organizational and supervisory skills.
§ Computer skills, including Word, Excel, access to e-mail and basic PC functions.
§ Ability for independent thought and action and be pro-active; anticipate and formulate solutions to issues and always sensitive to needs of homeowners and tenants.
§ Must be able to respond to emergency and non-emergency situations, and call appropriate vendors, coordinating with the Property Manager/Board for appropriate action.
§ Must be accessible on a daily basis to the homeowners and tenants of Park Lane Place receiving their concerns courteously and acting on them promptly; providing the ultimate in customer service.
§ Must work with Board, Association Manager, vendors and contractors providing quality assurance for all work performed on-site, keeping the property in good physical condition at all times.
