Position Overview:
We are seeking a resourceful and highly technically proficient professional to manage day-to-day administrative needs effectively and efficiently in the fast-paced environment of our C-Suite team. The successful candidate will be proactive, with exceptional organizational skills, excellent written and oral communication abilities, and a positive, can-do attitude.
Responsibilities Include:
- Actively manage complex schedules, calendars, contact lists, and files.
- Work closely with the CEO and COO to keep them well-informed of upcoming commitments and responsibilities, schedule changes, and preparation needed for meetings, following up appropriately.
- Anticipate needs and provide proactive support to relieve supervisors of administrative tasks.
- Manage workflow and juggle multiple priorities.
- Serve as a strict gatekeeper, answer, screen, and direct incoming calls.
- Organize video and in-person meetings, draft agendas, coordinate conference calls, and prepare presentation materials.
- Compose memos, letters, and other correspondence.
- Quickly identify, prioritize, and resolve problems of a varying nature with minimal direction provided.
- Book travel arrangements and coordinate external meetings.
- Assist with a wide variety of assignments and projects.
Desired Skills & Qualifications:

- Proactive, accountable, with excellent judgment.
- Tenacious in meeting deadlines, with strong decision-making and self-management discipline.
- Technologically savvy; highly proficient or expert knowledge of Microsoft Office Suite.
- Excellent written and verbal communication skills.
- Superior people/interpersonal skills and the ability to collaborate effectively.
- Ability to exercise utmost discretion when handling confidential information.
- Detail-oriented and adaptable to change, remaining calm under pressure.
- Experience in booking and modifying travel arrangements.
Education/Experience:
- Bachelor’s degree.
- 5+ years of experience in a similar Executive Assistant role supporting C-level executives.
