Job Summary:
We are seeking a highly organized and detail-oriented Office Assistant to join our team. The Office Assistant will be responsible for assisting and organizing office operations and procedures, such as word processing, flow of correspondence, filing and other clerical services. The Office Assistant will also perform order entry and label printing by incoming orders. May assist with work in the plant, if needed..
Work schedule is flexible, 15 - 20 hours per week. Office hours are 7am to 3pm.
Responsibilities:
- Performs PO retrieval from customers through emails, prints labels, confirms pricing on customer purchase orders and enters po’s into system to create pick tickets. Adds weights on various pick tickets and creates invoices. Answers phone and provides assistance to customers, as needed. Greets truck drivers when they come in to pick up their orders and presents them with the corresponding paperwork for signature. Invoices orders and sends invoices for payment.
- Assists sales staff with various activities including tracking sales calls, maintains & tracks sample requests to create monthly reports. Documents daily label verification paperwork. Assist salespersons as needed.
- Receives payments through the mail or wires and applies payments to customer accounts.
- Assists with various forms of paperwork (SQF) as well as interoffice miscellaneous duties. Performs daily titration tests for intervention cabinet machine. Maintains bookkeeping records and payments for different properties associated.
- Steps in to support other workers or teams during peak periods and absences.
- Answering calls and directing callers to appropriate areas/persons.
- Performs other duties as assigned.
Minimum Qualifications:
- High School diploma/GED
- One (1) year experience as an Administrative Assistant or Secretary
- Proficient in Microsoft Word and Excel
- Alternatively, an equivalent combination of education, training and/or experience
Preferred Qualifications:
- Experience in the food industry
- Knowledge of QuickBooks
