At Delta Bay Impact (DBI) we strive to help close the achievement gap for elementary, middle, and high school students and advance educational enrichment and financial empowerment to improve the lives of African American youth and families in Contra Costa County communities.
Overview:
We’re seeking a proactive, energetic Office Support Specialist to work closely with our Executive Director and Program Coordinator(s) as well as other members of the DBI team. The successful candidate will have strong organizational, time management, and administrative skills.
Responsibilities:
- Perform general clerical duties, including photocopying, faxing, mailing, and filing.
- Manage incoming and outgoing correspondence, including emails and phone calls.
- Maintain files, proofreading, completing forms and checking for accuracy.
- Assist in the preparation of reports and other documents.
- Provide administrative support to team members and executives, as required.
- Uphold confidentiality and discretion in handling sensitive information
- Perform other administrative tasks as assigned
- Coordinate and manage schedules for team members, ensuring efficient use of time
- Process invoices, daily transactions, and expenses
- Assist in managing travel arrangements for team members
- Support project coordination and tracking, ensuring milestones are met on time.
- Assist in planning events
- Maintain program donation records
- Prepare meeting materials
- Clean and stock office supplies
- Perform additional duties as assigned by the Executive Director
Experience / Education / Requirements:
- 2 years of previous Administrative Assistant experience with education experience is a plus!
- Highly proficient in Microsoft Word, Excel, and Outlook.
- Professional, reliable, flexible and have a positive, can-do attitude.
- Excellent attention to detail
- Ability to communicate well in both written and verbal communication forms.
- Proactive attitude and volunteers willingly to take on additional responsibilities
- Strong interest in education
- Associates’s degree preferred or similar work experience
- Maintain appropriate professional boundaries with staff, partners, clients and community resources.
