Overview:
Position Summary:
The Senior Administrative Specialist will be responsible for providing support to the administrative department, leadership team and other departments as needed. This position requires a self-starter who can work independently, can anticipate the needs of the team, and take initiative to seek out and resolve problems with limited direction. In addition to being organized and analytical, the role benefits from someone displaying excellent problem-solving skills when faced with challenging deadlines and thrives in a dynamic environment by being flexible in the face of change. This is a team member who is dedicated in nature, inventive, and has a passion for helping others. This is a master multi-tasker who has the strong business judgment and interpersonal skills that are needed to interact with a variety of people across multiple job functions and levels.
Responsibilities:
What You'll Do:

Deliver upon the service expectations of the department and senior management by listening to their needs, engaging in positive interactions, and following through on commitments made in a thoughtful, efficient, timely and courteous manner so that total outcomes are better than expected.

Guide a variety of projects with a sense of urgency, with attention to detail and precision. Must understand the level of urgency based on the written or verbal request and work to resolve as needed.

Work to get to know the team personalities, responsibilities, work style, and needs to ensure maximum support is being provided to each member and leader of the team.

Attend meetings to capture actions and establish a personal follow-up system to ensure deadlines are met.

Proactively identify ways to enable greater productivity and efficiency in the role and communicate with departmental leadership on suggestions to improve processes.

Accurately generate forms, charts, tables, emails, reports, correspondence, and other material in a timely manner.

Plan and coordinate meetings, conferences and/or travel for individuals, groups or the department as needed. Assists in coordinating calendars for departmental meetings, interviews, and off-site functions.

Prepare expense reports and coordinate with Accounting and HR to process reimbursements in a timely manner. Ensure receipts and reports are accurate and that all expenses qualify for reimbursement per the company policy.

Reconcile department credit card statements by confirming all back-up for charges have been saved to the Accounting Drive and taking action to collect what is outstanding. Process approval requests and communicate with accounting by providing details if needed.

Assist in maintain filing system and shared folders.

Assist the Leadership team with administrative tasks as needed including scheduling meetings, ordering supplies, and processing documentation. Completes other assigned tasks for other departments as an administrative role supporting the company on an as needed/requested basis.
Qualifications:
Minimum Requirements:

6+ years of relevant professional experience in a Senior Administrative role.

Demonstrated strong project management skills.

Meeting preparation experience to include preparing materials, agendas, and presentations.

Strong calendar management, meeting scheduling and coordination, event planning, expense reporting, and data reporting.

Experience in planning and coordinating complex (sometimes international) travel.

Possess a professional and welcoming presence.

Demonstrated excellent verbal and written communications skills.

Ability to work proactively and strategically, anticipating needs and suggesting solutions to improve administrative processes.

Demonstrated ability to handle confidential information and exercise good judgment.

Possess excellent organizational, multi-tasking, time management and problem-solving skills with decision making ability, must be a “quick thinker” and comfortable taking action as needed to get things done.

Must have a strong sense of urgency.

Must be able to clearly communicate status updates on projects and requests.

Must possess extremely strong interpersonal skills with the ability to build relationships with stakeholders, executive leadership, vendors, and staff members.

Proficient computer skills including Microsoft Office Suite (Word, PowerPoint, Excel).
Preferred Requirements:

10+ years of experience providing high level administrative support to multiple leaders, engineers, and/or scientists.

Experience working with early phase start-up companies.

Experience working with contracts.
Physical Requirements:

Work to be conducted in both an office environment and / or from a home office.

Must be able to sit for long periods of time. Frequent use of computer with repetitive use of keyboard, mouse and manual dexterity.
