Overview
The Executive Assistant is responsible for providing administrative and project management support. Interacts with a diverse group of external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize, and organize a diversified workload.
Responsibilities
- Provide administrative support and serve as primary support for the Bank President on a daily basis.
- Schedule and organize complex activities such as meetings, travel, conferences and team and client activities.
- Provide calendar management; meeting planning, scheduling, and coordination on behalf of executives and others, as needed.
- Ensure all executive verbal and written communications originating are precise, timely, and demonstrate a high degree of professionalism and service.
- Handle confidential and non-routine information, maintaining confidentiality.
- Reconcile the corporate credit card accounts and prepare expense reports.
- Design and produce general correspondences, memos, charts, tables, graphs, business plans, etc.
- Proofread work for spelling, grammar and layout, making appropriate changes to ensure accuracy and clarity of final copy.
- Anticipate, initiate, organize, and implement systems and procedures to efficiently manage projects, customer relationships, events and meetings.
- File correspondence, process invoices, organize reports, route inquiries to appropriate parties, and maintain a high degree of organization at all times.
- Create and develop reports and visual presentations utilizing Microsoft Power Point or other software.
- Act as a liaison with other teams and outside vendors, including high-level staff such as CEO, CFO, CCO, Bank Presidents and other Partners.
- Assist with maintaining the Executive area, including but not limited to ensuring we have sufficient stock toner, print postage, coffee as well as set-up conference rooms for meetings, order team lunches, etc.
- Utilize all office equipment, video conferencing, Teams, telephones, fax machines, computers on a regular basis, including general knowledge of social networking and utilizing technology to its fullest.
- Provide extraordinary service to internal and external clients.
- Develop and maintain trusted, positive relationships with other employees, clients and vendors.
- Always represent the Bank and Executive team in a highly professional manner.
- Complete job assignments in a professional, timely and efficient manner; organize and prioritize work.
- Maintain confidentiality; adhere to CrossFirst Bank policies and procedures; comply with laws, regulations, and industry best practices.
- Reliable and predictable on-site attendance.
Qualifications
- Prior experience providing C-Level support to senior management in a fast paced, service-oriented environment; banking, accounting, or consulting firm experience preferred.
- Possess in-depth knowledge of office technology and business communication.
- Successfully demonstrated strong communication of professional and accurate correspondence, presentation and written reports.
- Proven knowledge and experience with office automation equipment, including phones, computers and related software, including expert proficiency with using Microsoft Word, Excel, PowerPoint and Outlook.
- Exceptional organizational skills and demonstrated success in a multi-task environment with attention to detail and follow through.
- Reputation for persistence, flexibility, dependability and team work. Must possess ability to remain calm in the face of changing priorities and work with a sense of urgency.
- Bachelor's degree or equivalent combination of education and/or work experience.
The pay range for this position in Colorado is typically $33.65 to $40.87 hourly. The actual pay will be based on various factors, including but not limited to work location, qualifications, and experience. The starting pay may be above or below the stated range. This role is eligible for one or more incentive plans based on company and individual performance.
