Position Title: Front Desk Representative

Position Overview:
The Front Desk Representative will be the first point of contact for our clients, visitors, and team members. This role is essential in creating a welcoming and efficient front office environment. The ideal candidate will possess excellent communication skills, a professional demeanor, and the ability to multitask in a fast-paced setting.
Key Responsibilities:
- Greet and Welcome Visitors: Warmly welcome all visitors and clients upon arrival, ensuring they feel comfortable and directed to the appropriate personnel or department.
- Administrative Support: Provide general administrative and clerical support, including mailing, scanning, faxing, copying, and data entry.
- Schedule Appointments: Manage and maintain appointment schedules for staff and conference rooms, ensuring all meetings are timely and organized.
- Handle Correspondence: Receive, sort, and distribute daily mail and deliveries, and manage outgoing mail and courier services.
- Maintain Reception Area: Ensure the front desk and reception area are tidy, organized, and presentable at all times.
- Manage Office Supplies: Monitor and order office supplies to ensure the office is well-stocked and equipped.
- Security and Access Control: Monitor visitor access and maintain security protocols, including issuing visitor badges and managing access logs.
Qualifications:
- High school diploma or equivalent; additional qualifications in Office Administration are a plus.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational and multitasking abilities.
- Ability to handle sensitive information with confidentiality.
