Job Description:
We are looking for a highly organized and detail-oriented Administrative Assistant to join the team at SciGenie. As an integral part of our organization, you will be responsible for a variety of administrative tasks to ensure the smooth operation of our programs and services.
Key Responsibilities:
- - Responding to emails from parents using the hello@scigenie.com email address
- - Managing the CEO's calendar and scheduling meetings with schools
- - Updating the CRM system (Social Fox) and sending communication emails to parents
- - Managing files on Google Drive and organizing documents
- - Provide customer support by responding to inquiries and resolving issues
- - Assisting with training for staff members
- - Scheduling appointments and managing calendars
- - Providing timesheet reports to management
- - Maintaining lesson plan folders for programs
- - Updating Key Performance Indicators related to program metrics
- - Coordinating birthday party bookings and schedules
- - Uploading expenses to Quickbooks
- - Returning phone calls to stakeholders
- - Attending Camp Expos, Job Fairs, and Networking Events
- -Excellent judgment and creative problem-solving skills with the ability to make decisions in a changing environment and anticipate future needs. Must be energetic and proactive, someone who welcomes a challenge
Qualifications:
- - Previous experience in administrative roles, preferably in an educational or child-focused setting
- - Strong communication skills, both written and verbal
- - Proficiency in CRM systems and scheduling tools
- - Exceptional organizational skills and attention to detail
- - Ability to multitask and prioritize effectively
- - Familiarity with Google Drive, Connectteam, and other relevant software applications
- -Detail oriented
