Responsibilities:
- Provide medical administrative support to ensure efficient operation of the medical office
- Greet and check-in patients, ensuring a positive and welcoming experience
- Answer phone calls and direct them appropriately
- Schedule appointments and manage the appointment calendar
- Maintain patient records and update information as necessary
- Verify insurance information and collect co-pays or payments
- Assist with medical billing and coding processes
- Coordinate referrals to specialists or other healthcare providers
- Maintain cleanliness and organization of the front desk area
Serves as first point of contact for patients entering the practice and executes the delivery of excellent patient care by providing outstanding customer service and ensuring all patients feel welcome when patients enter the practice. Executes the patient registration process at Wellesley Family Care Associates and manages patient expectations regarding wait times. Is an active participant of the Wellesley Family Care’s Patient Centered Medical Home Team
Essential Duties and Responsibilities:
· Maintains a professional and strong customer service attitude at all times
· Ensures that complete patient demographics is consistently collected from patients to support WFCA population health strategy, medical home and billing
· Collects all necessary health insurance information from patients and verifies patient’s health insurance information to support the financial health the practice
· Ensures that the patient upon arrival to the practice is properly checked in through the Epic EMR and ready for the MA to facilitate proper MA intake
· Collects all co-pays from patients, when appropriate, collects past due balances
· Completes the referral process ensuring insurance authorization to specialists
· Obtains Prior Authorization for all Diagnostic imaging, if necessary
· Appointment scheduling for our practice, for imaging tests, urgent specialist appointments
· Complete Epic check out process ensuring patient has future appointment scheduled and ensure AVS delivery
· Assists the clinical team by helping providing ideas for improvement and implement performance improvements that support the medical home
· Actively participates in the weekly front desk meetings
· Consistently delivers an excellent patient experience by maintaining a positive demeanor and proactively addressing any concerns
· Answers the phone and addresses phone calls as appropriate or transfers the call to the appropriate party

Pay: $23.00 - $25.00 per hour
