Located in Long Island City, NY, Henick-Lane is currently seeking a qualified individual with office construction experience to join the company as a administrative assistant. The position will be directly reporting to the senior executives of the company.
Responsibilities:
- Develop and price comprehensive HVAC maintenance contracts, ensuring accuracy and competitiveness while considering equipment details and service requirements.
- Maintain accurate and up-to-date HVAC equipment lists for each contract, ensuring information aligns with service needs and billing.
- Review all service notes promptly and diligently, ensuring timely integration into the system for efficient work execution.
- Analyze service notes to identify pull-through work, determining required materials and parts.
- Reach out to vendors and secure necessary materials and parts for pull-through services, negotiating optimal pricing when possible.
- Formulate comprehensive HVAC service proposals for pull-through work, including detailed scope of work and accurate pricing.
- Transmit service proposals to clients effectively, providing clear explanations and addressing any inquiries.
- Upon proposal approval, efficiently order and track required materials for timely service execution.
- Proactively track and manage all fleet management tickets, ensuring optimal resource allocation and service completion.
- Answer phone inquiries from both existing and new customers, providing helpful information and addressing concerns politely and efficiently.
- Manage all service contract billing processes, ensuring accurate and timely invoicing and payment collection.
- Proactively follow up with clients on outstanding accounts receivable to maintain healthy cash flow.
- Secure customer signatures and approvals for all credit card transactions, adhering to company policies and ensuring compliance.
Qualifications:
- Minimum 3 years experience working background with HVAC parts/service contracts.
- Proficient in data entry and attention to detail
- Excellent organizational skills and ability to prioritize tasks effectively
- Should be well versed in computer usage and software such as Microsoft Office Suite
- Ability to work independently and as part of a team
- Experience with Sage 100 is a plus
- Excellent verbal and written communication skills
- Must be able to work Monday - Friday in the office from 8 AM to 5 PM (hours may vary, depending on need)
