About PLS
PLS is an independent, non-profit statewide organization that provides civil legal services to people incarcerated in New York State prisons. Through its main office in Albany, and its four regional offices in the Buffalo, Ithaca, Newburgh, and New York City, PLS represents incarcerated clients in state and federal courts in both individual and class action litigation related to prison conditions, engages in administrative and legislative advocacy, and provides advice and information to incarcerated New Yorkers.
PLS also provides representation in immigration proceedings. PLS engages in service work, individual lawsuits, and impact litigation. PLS provides high quality legal services and has been successful in establishing important rights for our clients.
Job Description
- Provide high-level administrative support and assistance to the Executive Director and/or other assigned leadership staff, including taking calls and responding to emails.
- Perform administrative tasks including screening calls, drafting correspondence for board communications, client communications and outside individuals, organizations and agencies.
- Make travel arrangements for the executive staff.
- Receive incoming communications or memos, review contents, prioritize, and summarize and/or distribute contents to appropriate staff.
- Assist with preparing for meetings including researching and conducting data to prepare documents for review and presentation to the board of directors, committees, and executives. Accurately record meeting minutes when necessary. Assist in organizing events and conferences.
- Maintain accurate and up to date filing of documents.
- Function as the point of contact between executives and staff, clients, governmental agencies and outside organizations and individuals.
- Prepare financial statements, reports, memos, invoices, letters, and other documents.
- Support bookkeeping tasks using QuickBooks.
- Perform data entry tasks with an elevated level of accuracy.
- Maintain office supplies inventory and manage office organization.
- Perform other duties as assigned.
Qualifications
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Extremely proficient with Microsoft Office Suite and Excel with the ability to learn new or updated software.
- Previous experience with project management.
- High school diploma required, bachelor’s degree in business administration or related field preferred.
- A minimum of 4 years of related experience required.
Salary and Benefits

SALARY TRANSPARENCY: This posting reflects the range of potential salaries for the role. The specific salary offers will be dependent on the candidate’s qualifications. The salary range for this vacancy is $55,000 - 65,000 annually.
