We are a newly established commercial cleaning company headquartered in DFW, and we are hiring an Office Administrator/Bookkeeper who can set their own hours. We need help setting up our many new employees properly, handling client billing setup, and ensuring our start-up operates efficiently and adheres to tax codes. Job Overview:
Under the general direction of the CEO/COO, the primary responsibilities of the Office Administrator/Bookkeeper are to manage administrative tasks, including employee onboarding, client billing setup, and ensuring compliance with tax regulations. This role is crucial in helping our start-up operate smoothly and efficiently.
Duties:
- Employee Onboarding: Assist with setting up new employees, including managing paperwork, ensuring compliance with legal requirements, and facilitating orientation sessions.
- Client Billing Setup: Handle the setup and management of client billing processes, ensuring accuracy and timeliness. Work with clients to establish billing schedules and resolve any billing issues.
- Administrative Support: Provide general administrative support to the CEO and COO, including scheduling, correspondence, and managing office supplies.
- Compliance and Tax Management: Ensure the company follows all relevant tax codes and regulations. Work with external accountants to prepare and file tax documents.
- Record Keeping: Maintain accurate and organized records of all financial transactions, employee information, and client contracts.
- Process Improvement: Identify opportunities to streamline administrative processes and implement solutions to improve efficiency.
- Communication: Serve as a liaison between management, employees, and clients, ensuring clear and effective communication.
- Confidentiality: Handle sensitive information with the utmost discretion and confidentiality.
Skills & Qualifications:
- Administrative Experience: Proven experience in an administrative or bookkeeping role, preferably in a start-up or small business environment.
- Organizational Skills: Strong organizational skills with the ability to manage multiple tasks and deadlines.
- Attention to Detail: Keen attention to detail to ensure accuracy in all aspects of the role.
- Communication Skills: Excellent oral and written communication skills, with the ability to maintain positive relationships and a professional image among management, staff, and clients.
- Technical Proficiency: Proficiency with office software, including QuickBooks, Microsoft Office Suite, and other relevant applications.
- Tax Knowledge: Familiarity with tax codes and regulations applicable to small businesses.
- Flexibility: Ability to work independently and set your own hours, while ensuring key tasks are completed on time.
- Integrity: Demonstrated ability to handle sensitive information confidentially and responsibly.
- Problem-Solving: Strong problem-solving skills with the ability to recommend and implement effective solutions.
