Shift: We have 1 shift available:

About the job:
-
You will be working at a Hospital in an office environment responsible for issuing identification cards to all authorized staff, physicians, c-suite executives, vendors, contractors, and volunteers. (A workforce of approximately 8,700+ staff)

You will greet employees, take a picture of the employee and confirm their name, credentials, job title, and department are accurate, review for appropriate access codes, and print access badges.

Maintain established office hours of 7:30am to 4:00pm Monday through Friday for assisting personnel, volunteers, physicians, students and vendors with new/replacement badges and answering any questions related to badging/access control.

Issue new/replacement identification badges in accordance with organizational policy. This includes initiating replacement fees when appropriate and submitting them to Finance.

Coordinate with auxiliary departments for pre-badging as needed (volunteers, med students, & residents).

Maintain a detailed tracking sheet of all badge types issued by day. Tracking sheet is shared with director at month-end.

Create monthly services invoices for submission to the property manager and site client's Finance at month-end.

Notify property manager of all new badges issued for personnel and physicians requiring after-hours access.

Maintain inventory of office/badging supplies and order supplies through department Administrative Assistant as needed.

Maintain badge printer; cleaning per manufacturer recommendations; coordinating maintenance/service calls with the vendor as needed.

Coordinate with Clinical Education and local college nursing program instructors on the badging of nursing students scheduled to be at the Hospital.

Maintain professionalism and excellent customer service during all interactions including face-to-face and via phone/email
Your background:
-
You have Receptionist or Administrative Assistant experience
-
You have a general understanding of computers and navigating Microsoft Office products (Word, Excel, and Outlook)
-
You are able to multitask while working in a fast-paced office, comfortable with repetitive work, and detail oriented
-
You have customer service experience working with a diverse workforce
-
You have a high school education or equivalent (GED)
-
You’re able to ace (and pass) an extensive screening process
-
If you have Security, Military, Law Enforcement experience – even better!
