RECEPTIONIST/ OFFICE ADMINISTRATOR
Pay range: $20-$22/hr
OVERVIEW: The RECEPTIONIST/OFFICE ADMINISTRATOR is a key member of the management team who ensures the timely and efficient administration of all corporate office operations. This position will have exposure to all facets of the property management business including, marketing, accounting, legal, HR, and general operations. You also will work directly with the partners from time to time.
SKILLS: The Office Administrator must have excellent verbal and written communication skills, a professional presentation and pleasant demeanor. Strong organizational and planning skills. Attention to detail and problem-solving skills. Knowledge of office management systems and procedures.
DUTIES AND RESPONSIBILITIES:
- Answer and direct phone calls.
- Greet & receive office visitors.
- Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
- Organize and schedule meetings and appointments including corporate events, trainings and luncheons.
- Produce and distribute correspondence memos, letters, faxes and misc. forms
- Assist in preparation of regularly scheduled reports (as needed)
- Provide general support to clients & visitors
- Help organize & complete multiple projects
- Assist New Hire onboarding - Day 1 training
- Ensure operation of office equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
- Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
- Contribute to team effort by accomplishing various assigned tasks.
- Handle sensitive information in a confidential manner
- Reply to email, telephone, or face to face inquires
- Receive, sort and distribute mail
- Help manage staff appointments
- Maintain up-to-date employee schedules, PTO and meetings, on shared calendars.
- Maintain office area daily including watering plants, loading and unloading dishwasher, keeping kitchen items stocked
QUALIFICATIONS:
- Proven admin or assistant experience in a professional office setting
- High school diploma or equivalent
SKILLS:
- Microsoft Office (Word and Excel) 2 Years
- Working knowledge of office equipment
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
OTHER REQUIREMENTS:
- Must have valid driver's license and automobile insurance
- 5-10% running errands for corporate office
- Must be able to lift up to 25 pounds
Pay: $20.00 - $22.00 per hour
