Job Description: Property Assistant at Bethesda Crossing
SUMMARY:
MRP is seeking an eager, goal-driven, customer service-oriented individual to contribute to the success of our fast-paced, growing, and high-energy property management team. The Property Assistant is primarily responsible for all administrative duties, accounts payable and receivable, and assisting the property management team with a variety of tasks. This role pertains to a 2-building property located in Bethesda MD, necessitating experience in supporting properties, including office and retail tenants. Experience in diplomatically interfacing with tenants and stakeholders is crucial.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Operations Management
- Answer incoming telephone calls, determine the purpose of callers, and forward calls to appropriate personnel or departments. When needed personnel are unavailable, take and deliver messages or transfer calls to voicemail. Retrieve messages from office voicemail and forward them to appropriate personnel.
- Respond to property inquiries with accurate information, including office address, directions, and other relevant details.
- Assist with various tasks such as computers, phones, emails, visitors, and events. Welcome on-site visitors, ascertain the nature of business, and announce visitors to appropriate personnel.
- Develop and nurture professional relationships with tenants and vendors to ensure excellent customer service and enhance community experience.
- Update and maintain tenant contact lists, emergency contact lists, email distribution lists, informational property documents and various tracking spreadsheets.
- Maintain and track all tenant and vendor certificates of insurance to ensure compliance with insurance requirements. Contact tenants/vendors regarding expiring certificates.
- Inform tenants of upcoming events, building holidays, and scheduled maintenance.
- Coordinate with vendors to schedule maintenance activities.
- Issue and activate Datawatch fobs for new tenants and assign appropriate access levels. Monitor visitor access and issue parking validations as needed.
- Manage and update the conference room calendar accurately and consistently, approving reservations.
- Manage conference rooms, amenity spaces, and management office supplies, ordering and stocking.
- Receive, sort, and distribute mail. Check mailrooms and send reminder notices as required.
- Maintain confidentiality with tenant information.
- Assist in preparing monthly operating reports by running reports and compiling finished work product.
- Submit, track, and oversee work order tickets.
- Accounts Payable and Accounts Receivable: Code, monitor, and track invoices and track any outstanding payments, and closely monitor utility accounts for timely payments and resolve late fees. Assist team with expense reports.
Internal Communications
- Consistently and effectively communicate with the Property Manager, Assistant Property Manager, Chief Engineer, Cleaning Supervisor, and relevant colleagues regarding property/tenant concerns.
EDUCATION AND/OR EXPERIENCE:
- Bachelor's degree from a four-year college or university; or one to two years of related experience and/or training; or an equivalent combination of education and experience.
- One-year general administrative and Real Estate experience preferred.
- Ability to utilize relevant software and technology such as Outlook, Microsoft Word, Excel and PowerPoint, and accounting software systems (Nexus MRI and Yardi experience a plus).

ABOUT BETHESDA CROSSING:
This project includes two connected buildings (7315 Wisconsin Ave and 4550 Montgomery Ave) on the same property, owned by two different entities. Bethesda Crossing collectively has ~700,000 square feet of office and retail space, and a multi-level parking garage, and the property is conveniently located directly across the street from the entrance to the soon-to-be purple line for the metro.

Pay: $55,000.00 - $58,000.00 per year
