Front Desk Director of Patient Impressions Job Description
Job title: Medical Billing/ Front desk receptionist
Classification: Hourly employee, bonus eligible
Reports to: Office Manager,VP of Operations, Clinic Director, and Owner
Objective and summary of job: Responsible for all patients receiving 5-star treatment while in our clinic and what the patient’s impression of our clinic is. This role is also the confirmation and scheduling master. The DOPI is responsible for the flow of the entire office, both patients and team included.
Essential functions, including but not limited to:
- Opening and closing the office.
- Make sure the office is clean, neat, and stocked to open for the day.
- Warmly greeting, with a smile, all patients, potential patients, spouses, and important people who come into the clinic.
- Maintain a positive and upbeat front office environment.
- Create a work atmosphere that promotes a 5-star patient care environment.
- Remain professional in all aspects of your job.
- Making sure all New Patient paperwork is filled out completely, to compliance, a chart is made, and ID and insurance cards are copied and put in the chart.
- Verify all insurance, using the verification form, for all new patients. Put the verification form in the chart.
- Room all patients, with a great attitude and offer water or coffee. Start video if applicable.
- Completing stats for the clinic daily/weekly/monthly to report to the VP of Operations, Director, and Owner.
- Answering the phone within 3 rings. Checking the voicemail multiply times a day and handling the messages or distributing them to the right person.
- Check the front office email several times a day.
- Check Review Way several times a day.
- Confirm all appointments for the following day, for all providers.
- Add all request for time off and events to the calendars
- Make new charts for medical, PT and chiropractic patients. Make any copies or print any paperwork you may need to make the charts.
- Run and post any payments in the payment book for the day.
- Add all new patient orders to the Med Orders spreadsheet.
- Send in all Interfyl paperwork.
- Pull all charts for the next business day.
- Communicate with the medical providers about any changes or cancellations on their schedule.
- Check the website for any biopsy reports, print them, pull the chart, and call the patient to schedule an appointment to review it.
- Meet with the medical providers to make sure the know about and understand what they are doing with their new patients.
- Remark any colors and codes for patients from the day that did not show.
- Audit all Xray forms for signatures and that they have a completed radiology report with them before going to billing.
- Audit all charts, from the previous days new patients, that signed up for care, that they have all signatures, consent forms, CYA, missed appointment policy, free consult form, and Nurse Practitioner recommendations.
- Audit all new patient from the Nurse Practitioners schedule the previous day for a full schedule, including all injections, DME’s and that all appointments are coded correctly.
- Print and file all end of day reports.
- Close out the credit card machines.
- Shut down the computers except exempt ones.

Key Performance Indicators:
- Wait times less than 10 minutes for all patients.
- All new patients are 100% booked for all treatment programs on the day they meet the medical provider.
- 100% of all reminder calls and confirmations are done daily.
- 100% off all stats for the week are completed on Friday morning.
- 100% off all charts for New Patients are audited for the week.
Supervisory responsibilities: Supervise the front desk operations.
Work Environment: Busy, fast paced medicaloffice.This position is located at the reception desk in the front office area.
Physical demands: This position requires standing, walking and sitting for long periods of time. Must be able to lift up to 50 lbs.
Position type and work hours: Full time; hours and overtime vary from 7:30am and 6:00pm, based on business needs, Monday through Thursday and from 8:00am and 1:00pm on Fridays.
Travel: Travel is very limited. May be asked to travel to educational seminars a few times a year. You are compensated for travel time and hours worked.
Required education and experience: Highschool diploma or General Education required. Minimum of 3 years in customer service-oriented business or related position previously obtained.
Preferred: 5-7 years’ experience in sales, finance, or customer service-oriented business. Sales and management experience is a plus.
