Position Title: Program Support Assistant (Partnerships, Liaison and Advocacy)

Under the overall supervision of the IOM DC Chief of Mission and the direct supervision of the Head of Partnerships, Liaison and Advocacy and in close coordination with the Head of External Relations, the successful candidate will be responsible for providing support to the Partnerships, Liaison and Advocacy Unit and other relevant units within the mission.
Responsibilities
- Supports tracking and reporting on U.S. policy developments related to IOM’s work and helps with the preparation and dissemination of material for information sharing and reporting purposes;
- Schedules and coordinates meetings for the senior management and, when needed, prepares agendas, information papers, briefing notes and/or meeting minutes and monitors the progress of follow-up actions;
- Provides administrative and logistical support for external engagements including workshops, events and meetings including preparing talking points, PowerPoint presentations and/or note-taking;
- Assists with the planning and execution of high-level events and meetings and provides logistical and administrative support for incoming and outgoing visits of IOM officials and other delegations;
- Promotes internal unit and office-wide information sharing and coordination;
- Supports the mapping of the mission’s external stakeholder engagement to track interests and manage the mission’s external relationships;
- Attends meetings both internal and external as needed
- Carries out general administrative tasks on behalf of senior management using the financial/ travel/human resources systems

Qualifications for Candidates
- Bachelor's Degree or equivalent or higher and a minimum of three years' experience.
Accredited Universities are those listed in the UNESCO World Higher Education Database.
- Experience conducting research and basic policy analysis, preferably in the international affairs, migration or humanitarian space
- Experience preparing reports, briefings, presentations, and other written materials for dissemination
- Experience managing calendars, coordinating meetings and providing administrative and logistical support for events, meetings and official travel
- Experience working in an international humanitarian organization, government institution and/or non-government organization is highly desirable
- Interest in and general understanding of migration issues, policies, and organization’s mandate
- Excellent written and verbal communication skills
- Exceptional organizational and time management skills
- Strong attention to detail
- Ability to work collaboratively in a fast-paced, multicultural environment
- Proficient in Microsoft Office applications e.g., Word, Excel, PowerPoint, SharePoint
For this position, fluency in English is required (oral and written).
IOM’s official languages are English, French and Spanish.
