Our interior design firm is seeking a dedicated and organized Executive/Personal Assistant to provide comprehensive support to the Principal Designer of Domino Creative. The role requires exceptional organizational skills, discretion, and the ability to handle a wide range of administrative and personal tasks with efficiency and professionalism. This position requires someone quick to learn, attentive to details, and able to multi-task with grace.
We currently maintain two offices—one in Brooklyn, one in Turks and Caicos—so a valid passport and a willingness to travel is essential.

Executive Support:
- Manage and maintain the Principal’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Coordinate internal and external communications on behalf of the Principal, including phone calls, emails, and correspondence.
- Liaise between the principal and the staff designers to ensure smooth internal communication.
- Prepare reports, presentations, and documents as requested by the Principal.
- Conduct research and compile information as needed for various projects.
Administrative Support:
- Assist with office management duties such as maintaining office supplies, and filing systems, and ensuring the office runs smoothly.
- Prepare expense reports and manage invoices in collaboration with the accounting department.
- Provide occasional support for office staff including scheduling, vendor visits and travel needs.
Personal Assistance:
- Perform personal errands for the Principal, including but not limited to occasional shopping, dry cleaning pickup, package mailing or pickup, and dog walking.
- Maintain confidentiality and handle personal matters with discretion and professionalism.
- Scheduling appointments
- Assist in planning and coordinating events, both professional and personal, including logistics, guest lists, and catering arrangements.
- Take on special projects as assigned by the Principal, which may involve research, analysis, and presentation of findings.
Qualifications:
- Proven experience, including reference(s) as an Executive Assistant, Personal Assistant, or similar role, preferably in a fast-paced environment.
- Strong organizational and time-management skills, with the ability to prioritize tasks independently.
- Excellent written and verbal communication skills.
- Organized, self-sufficient, and intuitive.
- Proficiency in MS Office (Word, Excel, Outlook, PowerPoint) and other relevant software. Knowledge of Quickbooks a plus.
- Discretion and trustworthiness due to the sensitive nature of managing both professional and personal tasks.
- Ability to adapt quickly to changing priorities and handle multiple tasks with efficiency.
- Passport required for potential travel out of the country.
Additional Requirements:
- Availability to occasionally work outside of normal business hours to accommodate the Principal’s schedule.
- Valid driver’s license and reliable transportation for running errands and attending off-site meetings is helpful.
