MBB Delivery LLC is a multi-station Amazon Delivery Service Partner (DSP) and is looking for an Executive Assistant to join our team. The Executive Assistant reports directly to the husband-and-wife owner team to help manage administration across 2 warehouse locations spanning approximately 250+ employees and 120 vehicles. This is a key role supporting the owners to perform a variety of administrative tasks both related to the business and personal. The ideal candidate will possess good people skills, attention to detail, and the ability to multi-task and problem solve without guidance. Ultimately, this role will contribute to the efficiency of our business by providing personalized and timely support to the owners.
Duties include, but are not limited to:
Operations Support
- Audit and order supplies such as uniforms, gas cards, vehicle replacement parts, vehicle/driver equipment
- Collaborate with Fleet Manager to maintain vehicle records for maintenance, damage, and registrations
- Ensure proper records are kept for incidents, vehicle accidents, and injury reporting
- Facilitate adjustments to staffing (schedule), vehicle allocation, and route commitments
- Enter coaching notifications into MBB systems in Support of senior team members
- Collaborate with HR Manager to interview and onboard new hires
- Attend weekly meetings with Amazon and/or MBB as needed, take and publish notes
- Manage company-wide communications
- Review, assess and update process documentation
- Assist resolving daily issues as they arise
- Other duties as assigned
Administrative Support
- Manage the owner calendars, set up meetings, and work with owners to effectively manage time
- Maintain office filing system
- Personal errands as they arise
- Track daily routes and packages across Amazon and MBB systems to audit and approve weekly and monthly invoices
- Review, scan and file employee records such as Support Withholding Orders, Workers Comp Notices, Doctors Notes
- Review, scan and file MBB administrative and financial records such as purchase receipts and vendor invoices
- Track and pay parking, toll, speeding, and signal violations
- Update vehicle insurance carrier with active vehicles each month
- Other duties, as assigned

Qualifications for this job include, but are not limited to:
- 1-5 years of experience as administrative, personal, or executive assistant
- Proficiency with Microsoft Outlook and MS Office Suite
- Demonstrated interpersonal skills and a foundation of strong written and verbal communication skills
- Outstanding organizational and time management skills, creative and willing to take work independently
- Be a team player willing to do whatever is required to add value to the Owners
Job Types: Full-time, Part-time
Pay: $50,000.00 - $55,000.00 per year
Expected hours: 30 – 40 per week
