We are currently seeking a friendly, organized, and efficient Secretary/Receptionist to join our team and ensure the smooth operation of our clinic.
Job Summary: The Secretary/Receptionist will be the first point of contact for our clinic, responsible for managing the front desk, handling phone communications, scheduling appointments, and performing various clerical tasks. The ideal candidate will have excellent communication skills, a strong attention to detail, and a genuine passion for helping others.
Key Responsibilities:
- Answer and direct incoming phone calls in a courteous and professional manner.
- Schedule appointments for therapists, ensuring efficient and effective use of their time.
- Communicate with patients, families, and insurance companies to coordinate care and handle inquiries.
- Maintain accurate and up-to-date patient records and files.
- Assist with billing and insurance verification processes.
- Perform general clerical duties, including filing, photocopying, and faxing.
- Greet and assist patients and visitors, providing a welcoming and supportive environment.
- Coordinate with therapists and other staff to ensure smooth clinic operations.
- Handle any additional tasks as required by the clinic manager or therapists.
Qualifications:
- High school diploma or equivalent; additional certification in office administration or related field is a plus.
- Previous experience as a receptionist or in a similar administrative role, preferably in a medical or therapy setting.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficient in Microsoft Office Suite and comfortable with office technology.
- Ability to work independently and as part of a team.
- Proactive, friendly, compassionate, and patient-focused attitude.
