Surgery practice is seeking an individual that has experience with medical insurance and referrals. Candidates should exhibit professionalism and work well in a team environment. This position requires an individual who is organized, prompt, reliable, and has the ability to learn new tasks quickly and efficiently in a fast paced environment.
Responsibilities include:
- Our Front Office Staff: Acts As An Example For The Clinic
- Assists all providers (MD, PA, FNP) and other medical staff by performing administrative duties.
- Agrees to work 40 hours a week or less.
- Workday consists of Monday – Friday 7:30am – 5:00pm (1-hour lunch break), or variable hours/days
- Agrees to discuss with patients about our retail sales/product lines ex. CBD, Alk Water, Massage, Esthetics, etc.
General Accountabilities
- Arrives to clinic 30 minutes prior to 1st patient scheduled
- Prepares the front waiting room by cleaning and organizing materials.
- Turn on TV to educational programs on clinic days.
- Greets all patients and reps as they arrive at our office.
- Check in patients at time of arrival and confirms demos/email/pt portal
- Collect copay and/or past due balances.
- Present iPad to patient to update forms. (For NP’s collect copy of ID/Ins Card)
- Answers incoming phone calls to the office.
- Check voicemails 3x/day; every 3 hrs; report/document messages.
- Check email daily. (multiple times/day)
- obtain and verify insurance for each pt
Receptionist Roles-Commercial
- Sits at front desk
- Monitors waiting room traffic (offer pts water if they must wait)
- Check in all patients arriving to the clinic for an appt
- Let MA team know that the pt has arrived via Teams
- Present iPad for patient to complete forms if necessary
- Verifies all commercial patients’ insurances 2 days prior to their appt
- Knows in advance pts who need to pay a copay/balance and why
- Keeps copy of all clover receipts from the day collected from commercial pts
- Reconcile end of day transactions based on report by clover
- Give all receipts at end of day to the biller
- reconcile all payments by end of day
Admin Tasks
- Schedules all commercial New Patients
- Creates accounts in Leading Reach and tracks the pts via that portal
- monitors the flow clinic and notify medical providers when wait time is longer than 30 min
- Uploads all documents into PM/EHR
Qualifications
- Medical office experience
- Knowledge of Microsoft Office
- Bilingual in English and [specific language, if applicable]
- Familiarity with Workers Compensation law
- Proficiency in Epic, EMR systems, and EHR systems
- Understanding of HIPAA regulations
- Ability to handle multi-line phone systems
- Experience in dental terminology and medical records
- Strong organizational and communication skills
- Previous experience in a medical or dental clinic
- Front desk and administrative experience in a healthcare setting
Bilingual is a plus.
1 year of medical office experience is preferred.
