Founded in 2009, Lucky Dog Animal Rescue (LDAR) is a volunteer-powered, foster based 501(c)(3) that has saved more than 28,000 homeless and abandoned animals since its founding. The new Program Coordinator is essential to our lifesaving work, as approximately 75% of all of Lucky Dog’s adoptions occur at adoption events or as a direct result of adoption events.
The new Program Coordinator will assist the organization by ensuring adoption events run smoothly and provide as many opportunities for adoption as possible. This position requires weekend workdays.
Position Overview
Reporting to the Program Manager for Events & Cat Adoptions (PM), the Program Coordinator for Adoption Events (PC) will support the team by taking on the day to day coordination of adoption events. The PC will be primarily responsible for coordinating and organizing adoption events and but will assist with other events as needed. The goal of this position is to increase the number of animals saved by effectively organizing and running our adoption events.
The ideal candidate for this job is resourceful, a good problem solver, detail-oriented, organized, and both a self-starter and a team player. The Lucky Dog organization is powered by the volunteers, requiring high levels of customer focus, engaging communication and responsiveness to both the volunteers, the Lucky Dog team, and potential and past adopters.
This position requires a flexible, non-regular work week and will have two, non-weekend days off each week. Attendance at weekend adoption events is required. The PC will have one weekend off each quarter.
This position balances working from home and at the office. The Program Coordinator would provide his/her own computer and cell phone. The position would start as soon as possible.
Major Responsibilities
- Event Schedule and Location Coordination - This position will assist the PM in developing and maintaining the calendar of adoption events. This includes coordinating with the locations regarding schedule, time and requirements by event location.
- Events Volunteer Leadership Team - As our events are volunteer-driven, this position is responsible for assisting the PM in recruiting and onboarding new high-level event volunteers (e.g. event coordinators, volunteer liaisons, master handlers, etc).
- Event Management and Oversight - This position requires attendance at events on the weekends, with the exception of the PC’s one weekend off a quarter. This position will make sure event sheets are managed, responses to attendees are received, documented and responded to and make sure events are well-coordinated. This position will prepare essential event supplies (bios, event supplies, tables, van, etc) and obtain volunteers as needed.
- Event Supply Management - The PC will be responsible for maintaining and restocking event supplies weekly and ensuring that all necessary supplies are prepared and dispersed as needed.
- Event “Day Of” Management - This position will manage the “day of execution”, including assisting the PM to coordinate the van driving and packing schedule, event materials (including ice and drinks!), and post-event activities (adoption lists, applications, event supplies, and donations).
- Data tracking - Track and manage key information on volunteer roles, animal attendance, and other data as needed to build the program.
- Pup Parties - The PC will assist the Development Officer for Events to organize and staff sponsored pup parties during the week.
- Help create and manage Standard Operating Procedures (SOPs)
Responsibilities may be added or changed as the organization continues to grow.
Key Experience
LDAR is looking to hire an Events Coordinator who has the following experience and skills, at a minimum:
- Animal Rescue experience (volunteer or staff) preferred
- Ability to learn database systems to track volunteer, animal, and event info
- Strong proficiency with G Suite, including Gmail, Google team drives, Google sheets and documents & Microsoft Suite
- Strong attention to detail and follow-through
- Self-starter with little need for close supervision
- Ability to work effectively on a small team and across functional organizational lines
- Ability to work flexible hours, including evenings and weekends
- Ability to work in cohesion with a primarily volunteer-powered organization
Minimum Requirements
- Must love animals and be passionate about animal rescue
- At least 21 years old
- Valid driver’s license required with good driving record and access to a vehicle
- A college degree
