The Middle School Administrative Assistant to support the function of the entire school. This position supports the general functions of the middle school office with specific focus on tasks coming from the guidance department. Tasks include, but are not limited to supporting various functions of the guidance office, attendance recording, report cards, student accounting, student records, and student obligations. Further, the person in this position is the “keeper of student files”. Helps develop roster and keeps all student records and special education students records.
General Office Duties
- Greet and provide assistance to those entering the office.
- Answer telephones and route calls and messages and report building problems.
- Send and receive faxes, and make photocopies.
- Prepare and process mailings.
- Assist the principal as needed.
- Provide “A”/”B” calendar on a monthly basis
- Maintain lock and locker assignments for hall and PE lockers.
- Regular and consistent attendance is an essential function of the position.
- Other duties as assigned/requested by the Principal.
Attendance Tasks
- Enter daily attendance and prepare daily attendance bulletins for internal process.
- Oversee and record late arrival and early dismissal of students.
- Write bus passes for students who present a parent note.
- Telephone parents to confirm student absence and/or lateness.
- Process and record requests for family travel.
- Prepare, process, and file attendance letters.
- Generate attendance reports pursuant to administrative request.
- Provide daily bulletin for student attendance and update for staff.
- Enrollment and withdrawal process for students.
Qualifications:
- High school diploma or equivalent; some college coursework preferred.
- Previous experience in a office or educational setting is highly desirable.
- Strong organizational and multitasking skills.
- Proficiency with computer software and library databases.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
