Pillar Services, a small social services agency dedicated to providing Housing Stabilization Services and 245D services in Minnesota, is seeking a highly organized and proactive Administrative Assistant. The ideal candidate will play a crucial role in ensuring the smooth operation of the organization by maintaining compliance, managing communications, and supporting both clients and staff.
Key Responsibilities:
- Ensure compliance with all relevant regulations and policies.
- Respond promptly to mail, emails, and phone calls, providing excellent customer service.
- Assist in managing the organization's budget.
- Perform bookkeeping tasks, including maintaining accurate financial records and processing transactions.
- Assist with the new client enrollment process, ensuring all required documentation is completed accurately and timely.
- Support clients through the renewal process, providing necessary information and assistance.
- Review staff paperwork for accuracy and completeness, making necessary corrections.
- Provide support to the Program Director and Direct Care Staff as needed.
- Assist with various administrative tasks and special projects as assigned.
Qualifications:
- High school diploma or equivalent; additional qualifications in office administration are a plus.
- Proven experience as an administrative assistant or in a similar role.
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Proficiency in MS Office (Word, Excel, PowerPoint) and familiarity with office equipment.
- Attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
Preferred Qualifications:
- Experience in the social services field or a similar environment.
- Knowledge of Housing Stabilization Services and 245D services.
Working Conditions:
- Full-time/Part-time position, Monday through Friday.
- Hybrid - office/remote
