Job Description
We are currently looking for a C-Level executive administrative assistant to provide professional and personal support to the senior leadership. This person should be an efficient professional, who has great communication skills and a keen attention to detail. Candidate will have prior experience working in an executive office environment. They will provide administrative responsibilities with the flexibility and foresight to excel in a fast-paced climate. The ideal person for this position will be a supportive force that empowers the senior leadership, while maintaining confidences related to high level operations.
Objectives
- Manage professional and personal scheduling for senior leadership, to include but not limited to, agendas, mail, email, calls, travel arrangements, client management and other corporate logistics.
- Support senior leadership by planning and orchestrating work to ensure priorities are met for internal and external objectives and tasks
Responsibilities
- Coordinate complex scheduling and extensive calendar management, to include management of content and flow of information to senior leadership, as well as, internal/external parties
- Manage, coordinate and arrange senior leadership travel and travel-related activities to include, hotel bookings, transportation, meal coordination and itineraries
- Perform administrative office tasks, to include, but not limited to, typing, dictation, informational spreadsheets and expense reports, and PowerPoint presentations
- Maintain professionalism and strict confidentiality with all materials, while maintaining discretion when interfacing with others
- Organize communications and plan events both internally and offsite
- Focused assistance with daily tasks and communication, as the point of contact for senior leadership
Skills and Qualifications
- 4-5 years experience in an administrative role reporting directly to senior leadership
- Strong time management skills and ability to multitask
- Excellent written and oral communication skills
- Well organized with strong business sense to decipher priorities and make sound decisions
- Proficient in Microsoft Office Suite, with aptitude to learn new software and systems
- Experience in booking travel
- Experience managing multiple calendars
- Flexible team member that is resourceful, innovative and stays calm under pressure
- Strong interpersonal skills and capable of keeping organizational confidences
Preferred Qualifications
- Undergraduate/Graduate Degree
- PA Certification
- Experience as a Virtual Assistant a plus
