JOB SUMMARY
The Medical Office Assistant, under the direction of the Medical Office Administrator, is responsible for providing varied, complex, and routine clerical duties to support the Clinical Department. This position is in addition to Medical Assistant job responsibilities, job duties will correspond to 0.50 FTE for medical office assistant.
MAJOR RESPONSIBILITIES
- All Medical Assistant duties (see Medical Assistant job description)
- Organize and maintain administrative processes essential to this position.
- Manage multiple tasks and projects with competing priorities and deadlines.
- Coordinate monthly staff meeting arrangements and correspondence.
- Assist with ordering office and medical office supplies. Stock supplies and follow protocols.
- Schedule maintenance repair and moving company as needed for the office.
- Schedule electronic medical record for training courses for new hires.
- Assist with organizing medical response drills and fire drills.
- Assist with assigning monthly personal development courses to staff.
- Submit supported diagnosis codes to lab facility billing depts for claim reprocessing.
- Prepare letters, memos, and forms according to written or verbal instructions.
- Perform clerical duties including typing, filing, and completion of simple forms.
- Operate office machines including copiers, scanners, phone and voicemail systems, personal computers, and other standard office equipment.
- Copy, sort, and file records related to office activities, business transactions, and other matters.
- Ensure timely flow of information. Complete work with accuracy.
- Function efficiently and effectively in a fast-paced professional environment.
- Maintain a clean and organized work environment. Always maintain professionalism.
- Maintain confidentiality of all patients, clients, employees, protected and proprietary information.
- All other duties as assigned by the Medical Office Administrator
ALL DUTIES AND REQUIREMENTS MUST BE PERFORMED CONSISTENT WITH THE SPECTRUM MEDICAL PERFORMANCE STANDARDS.

2+ years working as a Medical Assistant
License and certifications
Medical Assistant Diploma

- Bilingual Spanish/English highly preferred.

- Excellent interpersonal and customer service skills.
- Knowledge of HIPAA Regulations and Protected Health Information (PHI).
- Ability to complete all aspects of the job.

- Ability to perform under a flexible high-volume clinic while being attentive to detail.
- Ability to adapt to changing environments.
- Previous EHR experience; eClinicalWorks know-how preferred.
- Familiarity with medical office procedures and terminology.
- While performing the duties of this job the employee is required to stand, sit, walk, use hands to finger, handle, or feel; reach with hands and arms, talk, and hear. Occasionally the employee must stoop, bend, and lift or move up to 25 lbs. Specific vision abilities required include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus.

Pay: $16.00 - $24.00 per hour
