We are seeking an experienced Executive Administrative Assistant to support our SVP of Global Services.
CORE RESPONSIBILITIES
· Establish and maintain an effective rapport with the VP through regular contact, active listening, and timely addressing of any issues that may arise.
· Interface with company executives, external clients, and vendors.
Assist with various tasks such as printing reading materials, sorting emails, coordinating internal communications to employees, and acting as a Gatekeeper when needed.
· Act as a custodian of corporate documents.
· Manage incoming phone calls to the VP from internal and external people.
· Receive and interact with all visitors coming to the organization.
· Manage the scheduling of all Outlook calendar appointments, including internal and external meetings.
· Ensure the timeliness and preparedness with regard to meetings, both on and offsite.
· Coordinate global travel arrangements.
· Coordinate and oversee travel arrangements for Service Technicians.
· Generate expense reports.
· Communicate and track progress of assigned key service initiatives.
· Assist with tracking and monitoring of assigned service projects.
KEY RELATIONSHIPS
The role will be responsible for collaborating cross functionally with other departments and key service leaders.
QUALIFICATIONS
· 7 years of experience providing C-Level administrative support.
· Superb level of professionalism and maturity.
· Exceptional organization skills, oral and written communication skills, and attention to detail.
· High proficiency in MS Office, including Outlook, Word, PowerPoint, and Excel.
· Ability to demonstrate a confident, proactive approach within the role.
· Strong project management skills.
· Ability to multitask in fast-paced environment.
· Experience in event planning and making global travel arrangements.
· Ability to work proactively and think outside the box
