Position Summary
The Office Manager/Executive Assistant will be working directly with the Firm Administrator. This person is expected to provide excellent support to our clients and the team. Ultimately, success in this position is measured by consistently delivering exceptional levels of client and advisor satisfaction. The Administrative/Executive Assistant will report directly to the Firm Administrator.
Essential Job Functions
- Report directly to the Firm Administrator.
- Efficiently route calls to the correct team member.
- Manage and coordinate calendars, ensuring smooth scheduling and appointments.
- Assist the Firm Administrator with various marketing tasks and event coordination.
- Perform executive assistant duties as needed, such as ordering lunch, handling bill payments, and managing personal items for the Founder.
- Consistently look for ways to improve internal processes and procedures.
- Stays educated and well-versed in the service and technology offerings to our clients.
- Initiate and implement innovative strategies to improve reliability, ease of doing business, and personal attention.
- Create a cohesive, collaborative team environment.
Knowledge, Skills and Abilities
- A minimum of three years of executive assistant experience.
- An extraordinary client service orientation
- Well-developed business acumen and initiative to succeed
- Ability to multi-task and handle numerous activities simultaneously
- Excellent verbal, telephone, and written communication skills
- Strong interpersonal and negotiation skills
- Software/Systems Skills Required: Microsoft applications (Word, PowerPoint, Excel, Notes, & Teams), Salesforce, and Orion
- Technology savvy
- Strong problem-solving skills
- Excellent organizational and time management skills
- A genuine interest in serving and caring for other people
Education and Experience
- Bachelor’s degree or equivalent education and experience
- A minimum of three years working as an executive assistant in an office setting.
- Experience working with financial advisors is a plus
- Excellent writing, listening and feedback skills
Job Type: Full-time
Pay: $85,000.00 - $95,000.00 per year
