Position: Project Coordinator:
We are seeking a diligent and highly organized Project Coordinator to join our dynamic team. The ideal candidate will support the Project Manager (PM) in all aspects of project execution, ensuring efficient communication, document management, and adherence to schedules. This role is crucial in maintaining the flow of information and ensuring that all team members are aligned on project goals and timelines.
Responsibilities:
Client Meetings (and Calls): You will assist the PM in developing agendas for client meetings and calls, distribute them beforehand if required, attend all meetings and calls to take detailed notes, and facilitate post-meeting recap sessions with the team to review action items. Additionally, you will be responsible for distributing meeting minutes to the team and clients as necessary.
Submittals: In this role, you will assist the PM in creating a comprehensive look-ahead submittal schedule, help compile complete submittal packages, manage the process of sending out submittals for signatures, track their return, and ensure signed submittals are properly filed and accessible.
Bidding and Sub Agreements: You will support the PM in developing a look-ahead bidding and procurement schedule, assist in preparing bid packages, managing the collection and leveling of bids, and overseeing the development, release, and collection of sub agreements, insurance certificates, and other supporting documents, coordinating with relevant stakeholders as needed.
Material Purchases: Your responsibilities will include helping the PM develop a procurement schedule for all materials being purchased by the company and managing material purchases from initial quoting through to purchasing and delivery, ensuring timely and accurate procurement.
Insurance Certificates: You will manage the process of obtaining and maintaining approved and current insurance certificates for all active projects, ensuring compliance and readiness.
Document Management: In this role, you will assist the PM in creating systems to manage sub agreements, submittals, and other key contract documents within our document management system, develop systems to manage building plans and updates, design drawings, and specification issues, and establish both paper and cloud-based systems to inventory current and final plans and specifications.
Samples Library: You will develop and maintain a system for job site inventory of all relevant building materials and samples, ensuring the completeness and currency of items such as ceramic tiles, finished flooring, and window and door profiles.
Qualifications:
- Strong organizational skills and attention to detail.
- Excellent communication skills, both written and verbal.
- Ability to manage multiple tasks and meet deadlines.
- Proficiency in document management systems and Microsoft Office Suite.
- Experience in project management, project coordination, and construction is preferred.
