Mission Statement
Ross & Moncure is a public accounting firm specializing in the taxation of small and medium-sized business enterprises (SMEs), high-net-worth individuals, multinational individuals, non-immigrant visa holders, freelancers and contractors, and the US operations of foreign corporations. The firm provides tax planning and preparation services, highly-customized Professional Employer Organization (PEO) services, and reporting and consulting services relating to the Foreign Account Tax Compliance Act (FATCA) and cross-border compliance requirements. Clients return to Ross & Moncure year after year because of the staff's commitment to service and its consultants' extensive knowledge of the Internal Revenue Service Code, the 68 bilateral income tax treaties between the United States and other countries, and US payroll tax rules and regulations.
Summary
Ross & Moncure’s team is divided into four groups – Management, Tax Research and Strategy, Account Management, and Administrative. The firm is seeking a high-energy Executive Assistant to join the Administrative team. Immediate start preferable, though we do have some flexibility. This is an on- site position with a 1.5 year commitment (two tax seasons).
Skills and Experience
The ideal candidate would possess the following skills:
- Excellent written and oral communication skills
- Excellent computer skills with experience in Acrobat, Excel, and MS Office Suite (incl. Outlook and Teams), and average or above typing skills.
- Excellent time management and attention to detail
- Comfort in international work environments (we have a large international client base)
- Willingness to work long hours during tax season (February to mid-April)
- Works well within a close-knit team
Preference given to candidates with a bachelor’s degree and an interest in learning more about the firm's work and growing internally.
Duties and Responsibilities

- Appointment scheduling for senior consultants
- Client liaison – receive/direct phone calls, answer emails, and assist clients with portal access
- Document intake via mail and through online portal
- Document collating/organization
- Disseminating incoming mail and preparing outgoing shipping
- Support on personal administrative tasks to assist senior consultants
- General office upkeep; restocking kitchen, preparing conference rooms, etc.
Hours
Please find general year-round hours below, though these hours are entirely subject to workload.
- Slow season (1 June to 31 January): 8AM - 5PM on weekdays
- Early tax season (1 February to 28 February): 8AM - 6PM on weekdays and 9AM to 5PM on Saturdays
- Late tax season (1 March to 15 April): 8AM - 6:30PM on weekdays and 9AM to 6:30PM on Saturdays
- Post season (17 April to 31 May): 8AM - 4:30PM on weekdays
Please note that during tax season (the first week of February through the second week of April), all Ross & Moncure employees and contractors are expected to work on Saturdays. Lunch will be provided by the firm on these Saturdays. The firm also regularly purchases breakfast and snacks for employees during this period. We are happy to accommodate unpaid leave for seasonal employees as needed during the period 1 February to 15 April, but we ask that a supervisor be informed several weeks in advance so that we can arrange for a substitute.
Company Culture
Ross & Moncure is a small firm with a family-like atmosphere. Our office is largely open-plan (no cubicles!). Team members avail themselves to one another to consult on client issues throughout the day. Projects are delegated from the top, and performance is measured in terms of efficiency, accuracy, and client satisfaction -- team members are given generous autonomy in terms of style and time management. Individuals are encouraged to ask for help and guidance as needed. During tax season, everyone works hard and cohesively toward a singular goal. Outside of tax season, the firm is extremely flexible in terms of hours (we are open to off-season flex-time arrangements, and last-minute vacations are almost always approved).
Benefits
(1) Starting base salary of $52,000 + April Deadline Bonus.
(2) All permanent employees at Ross & Moncure are invited to participate in the firm's 401(k) Plan. Ross & Moncure matches each employee's contribution at a rate of up to 3% of salary.
(3) All permanent employees of Ross & Moncure are eligible for health and dental insurance once they have been with the firm for 90 days. Seasonal and part-time employees are not eligible for health/dental coverage. Voluntary, employee-paid life and short/long-term disability insurance are available. We do not offer vision insurance.
(4) Ross & Moncure pays for the continuing education of its lawyers, Enrolled Agents and Certified Public Accountants. Ross & Moncure does not sponsor candidates for accounting classes, business school, or law school, except for by agreement in contract negotiations.
Ross & Moncure does not provide parking for employees, though there is an abundance of street parking in the area.
