Job Summary:
We are seeking a detail-oriented Administrative Assistant to join our team. The ideal candidate will provide administrative support and ensure efficient operation within the office environment.
Duties:
- Perform general office tasks such as data entry, filing, download and print plans and organizing documents
- Manage incoming calls and emails, providing excellent phone etiquette
- Assist in Accounts Payable, Accounts Receivable, and Accounts Reconciliation
- Support staff with administrative tasks as needed
- Working knowledge of lien waivers and Certificate of Insurance requests
- General human resource assistance, acting as a backup to Payroll as needed
Requirements:
- Proven work experience as an Administrative Assistant or similar role
- Knowledge of office management systems and procedures
- Strong organizational skills with the ability to multitask
- Familiarity with Microsoft Office Suite (Word, Excel and Outlook), A.I.A. Billing format and utilizing our accounting software, Sage
- Excellent communication skills and professional phone etiquette
- Familiarity with construction terminology, practices, materials, means, methods and techniques preferred
