Introduction to the Islands and Remote Areas Regional Food Business Center
The Isolated Island Region RFBC aims to serve as the cornerstone of USDA’s development of local and regional supply chains for the local farming communities of the Pacific islands of Hawaii, Guam, Northern Mariana Islands, American Samoa, the state of Alaska, and the US Caribbean territories of Puerto Rico and the US Virgin Islands. Each of these places share similar challenges, including geographic isolation, food transport logistics, underdeveloped infrastructure, extreme climate change impacts, colonial histories, and legal issues that create a complex set of barriers to building resilient regional and local food systems and economies. Establishing an RFBC for Isolated Islands is a unique opportunity to invest in these food systems in a way that reflects the specific circumstances of these communities.
Position Title: Administrator & Bookkeeper
Salary: $55,000 - $65,000/year + fringe benefits
Position Start Date: As early as possible
Reports to: RFBC Co-Project Directors, Grant Manager, Controller
General Job Duties: To provide organizing, managing, and coordinating duties to support and facilitate RFBC day-to-day operations and communications and manage fiscal accuracy in collaboration with accountant
Key Responsibilities / Essential Duties:
● Organize, plan and coordinate meetings of general RFBC partners and workgroup meetings
○ Arrange and schedule medium for meetings – zooms, phone calls, in-person
○ Send out notices and reminders for all meetings
○ Set up agenda (with Co-PDs)
○ Take and post minutes in Google Docs
● Manage HGFA RFBC Google Docs site
○ Manage library of documents, photos, videos, etc.
● Manage grant bookkeeping (RFBC & LFPP)– in coordination with Controller
○ Assist Program Directors with filing/submission of credit card receipts into Zoho expense app
○ Manage electronic filing of AP/AR documents
○ Manage accounts payable in Quickbooks Online in coordination with Controller
○ Prepare monthly grant worksheets for Federal programs
● Event planning: Arrange and coordinate RFBC sponsored activities with partners/sectors
○ Coordinate and manage communications among attendees
○ Arrange and manage convening site, meals and food, and air flights
○ Manage payment or reimbursement of air fare, ground transportation, parking
○ Manage payment of retreat costs
○ Take minutes and post minutes, documents generated, etc. in RFBC Google Docs
○ Set up materials for meetings
● Support grant management
● Arrange and communicate with presenters for meetings and convening
● Remind members to complete assignments, tasks, input
● Miscellaneous administrative support to support communications and facilitation of HGFA operations and structure
● Provide support to RFBC staff on administrative and coordination.
● Other duties as assigned
Qualifications and Skills:
● Excellent interpersonal, verbal, and written communications skills required.
● Strong organizational and time management skills.
● Demonstrated ability to read, interpret and disseminate diverse written requirements for deliverables, reports and milestones on a grant by grant basis.
● Ability to interact positively with a variety of people by telephone and in person.
● Diplomacy and good judgment are essential.
● Keyboard skills and computer experience necessary to oversee internal IT demands.
● Ability to identify and implement process and systems improvements, and large-scale control and governance initiatives.
● Ability to maintain confidentiality and security of sensitive information.
● Experience working with Federal grants
● Experience with Dropbox, Google Docs and Microsoft 365
● Experience with Quickbooks Online & GAAP
● Experience with non-profit administration
Working Conditions:
● Indoors. Hybrid work schedule with 3 days in office.
● Duties may require evening and weekend hours.
● Inter-island, intra-island, and continental travel is required
