Purchasing/Administrative/Office Assistant Job Responsibilities
- Purchasing material orders through on-line ordering system: KOJO
- Preparing and processing purchase orders.
- Scheduling and verifying purchase deliveries.
- Building and maintaining positive, long-term supplier relations
- Selecting the most suitable suppliers in terms of reliability, product quality, and cost-efficiency.
- T & M scheduling and billing for Service Jobs entering information into Accounting System and Time Clock Plus.
- Assist with billing by preparing and sending invoices for Service Jobs.
- Maintain Certificates of Insurance and Tax-Exempt Certificates.
- Applying for electrical permits through an on-line portal when necessary.
- Enter Vendor invoices into accounting system verifying through Purchase Orders
- Monitoring safety equipment and determining purchase needs.
- Warmly greet visitors to our facility; answer and direct phone calls promptly, fielding solicitors/cold sales calls; and maintain office efficiency arranging necessary repairs.
- Perform a variety of administrative duties, such as sorting and distributing incoming mail.
- Manage phone calls and correspondence (e-mail, letters, packages etc.)
- Maintaining general office files, including job files, vendor files, and other files related to the company’s operations both electronic and physical.
- Purchasing office supplies.
- Overseeing the maintenance of office facilities, and vehicle maintenance.
- Performing other relevant duties when needed.
Qualifications and Skills
- Excellent knowledge of MS Office and office management software
- Great organizational skills
- Excellent negotiator
- Judgement and Decision-making skills.
- Strong written and verbal communication skills
- Great time management
- Ability to work under pressure.
- Attention to detail.
- Basic data entry skills.
- Familiarity with office management procedures and office management software
Job Type: Full-time
Pay: $50,000.00 - $60,000.00 per year
