HJF is seeking an Executive Assistant to provide administrative support to the Director of the National Center for Disaster Medicine and Public Health (NCDMPH) at the Uniformed Services University (USU). The Executive Assistant will be responsible for all coordination activities on behalf of the Director and his office. The incumbent should possess a meticulous attention to detail, demonstrate excellent communications skills, and have the ability to prioritize and follow-through on multiple tasks in a fast-paced environment.
NCDMPH was established under the Homeland Security Presidential Directive 21 (HSPD 21) in October 2007 to be “…an academic center of excellence in disaster medicine and public health….” The mission of the National Center is to improve the Nation’s disaster health readiness through education and science. NCDMPH is a unique organization with five Federal agency founding partners: Department of Health and Human Services (HHS), Department of Defense (DoD), Department of Homeland Security (DHS), Department of Transportation (DOT), and Department of Veterans Affairs (VA). NCDMPH’s existence as a Federal organization, but located within an academic institution, the Uniformed Services University of the Health Sciences (USU), positions it as a bridge between these spheres. The unique structure and position make NCDMPH especially suited to meet its critical readiness mission.
The Henry M. Jackson Foundation for the Advancement of Military Medicine (HJF) is a nonprofit organization dedicated to advancing military medicine. We serve military, medical, academic and government clients by administering, managing and supporting preeminent scientific programs that benefit members of the armed forces and civilians alike. Since its founding in 1983, HJF has served as a vital link between the military medical community and its federal and private partners. HJF's support and administrative capabilities allow military medical researchers and clinicians to maintain their scientific focus and accomplish their research goals.
Responsibilities:
- Maintains a calendar of appointments and schedules appointments and conferences based on knowledge of supervisor's schedules and previous commitments.

Makes necessary arrangements for conferences and meetings. Collects and prepares material for supervisor's use for meetings. Makes all necessary travel arrangements.

Drafts meeting minutes and agendas.
- Reviews and replies to incoming correspondence. Drafts replies to inquiries.

Receives, screens, and distributes requests and reviews and prepares outgoing correspondence.

Handles detailed matters which may be confidential and critical.

Makes high level contacts of a complex nature; ability to work professionally and effectively while interacting with clients, executives and other stakeholders as necessary

May perform other duties and responsibilities as assigned or directed by the supervisor. This may include attendance of and participation in required training for role.
Qualifications:
Education and Experience

Associates Degree.

Minimum of 9-10 years experience is required.
Required Knowledge, Skills and Abilities

Strong communication skills, both oral and written

Extremely organized with impeccable attention to detail

Excellent word processing skills and computer skills to include strong skills in Microsoft Word, Power Point and Excel.
- Familiar with Google Suite

Ability to anticipate needs, take initiative and follow through.

Experience supporting a senior executive/director level staff
Work Environment

This position will take place primarily in an office setting.
Security Requirements: Ability to obtain and maintain a T1 public trust background investigation.
Some HJF employees are required to be fully vaccinated against COVID-19. Proof of vaccination or an approved religious or medical accommodation will be required.
