The Senior Executive Assistant will be a valued individual supporting the Chief Executive Officer, trusted to perform highly diversified and confidential administrative responsibilities. The administrative support provided will ensure efficient operations. This individual will support the CEO through a variety of tasks related to organization, communication, project management, and accountability of others. The Senior Executive Assistant will be able to anticipate needs that may arise and take proactive measures to resolve issues. This role relies on experience and independent judgment to plan and accomplish goals, with a wide degree of creativity and latitude.
Responsibilities
- Managing the operational workflow and calendar of the CEO.
- Providing confidential administrative support to the CEO, including but not limited to the preparation of reports to the Board of Directors and others.
- Performing complex administrative duties including responding for the CEO when unavailable, composing communication, and coordinating resources across a variety of functional areas.
- Preparing dashboards, executive summaries, and strategic analysis for the CEO to quickly ascertain knowledge to facilitate effective and rapid decision-making.
- Ensuring internal and external presentations meet brand standards, are appropriate and accurate, and convey purposeful information.
- Managing and maintaining schedules, appointments, and travel arrangements, and timely preparation of expense reports.
- Organizing meetings to maximize productivity and discussion; drafting agendas and minutes and ensuring follow-up action items are clearly assigned and subsequently completed.
- Implementing a communication process ensuring that stakeholders are provided with the appropriate information in the necessary timeframes.
- Providing general administrative support including writing, editing, archiving, and preparing presentations.
- Answering inquiries and/or referring requests to the appropriate person/department for resolution.
- Developing and implementing office procedures related to the coordination of information.
- Attending meetings as assigned and reporting on actions.
- Hosting guests by scheduling conference space as required, facilitating refreshments, making reservations, and planning social engagements.
- Assisting other Executives with administrative tasks as needed.
- Other responsibilities as assigned.
Qualifications
- Minimum of 5 years of experience as an Executive Assistant.
- Ability to provide executive support and excellent communication skills.
- Strong organizational and time management skills.
- Independent decision-making and sense of urgency related to work and projects assigned.
- Proficiency in Microsoft Office products (Outlook, Word, Excel, PowerPoint).
- Attention to detail and accuracy.
- Ability to work independently and prioritize tasks.
- Experience in the technology industry is a plus.
