Position: Office Supervisor, Executive Assistant - Japanese bilingual
Location: Union City, CA (Work at Office)
Pay Rate: $25-32.00/h (based on experience), Full Time
ESSENTIAL JOB FUNCTIONS
Facility Management
-
Maintains office facilities and equipment.

Main contact for property owner and vendors, ensuring smooth operation (alarm, janitorial, sanitation, plumbing, etc.).

Recommends facility design modifications.

Communicates workplace safety precautions to employees.
-
Handles maintenance repair calls, scheduling, and post-service activities.
Property Safety and Emergency Preparedness
-
Integral member of the Safety and Emergency Preparedness Committee.

Tests security systems, facilitates action plans for fire evacuations and disaster response.
Office Equipment and Supplies
-
Manages supply acquisition, inventory, and equipment organization.

Responsible for obsolete/broken equipment and damaged/unused furniture.

Tracks supply usage, manages budget, negotiates contracts, and makes purchases.

Conducts inspections for furniture, renovations, and office needs.
Executive Assistant
-
Coordinates President’s calendar and travel arrangements.
-
Prepares and edits emails, memos, and presentations in English and Japanese.

Files and organizes confidential documents.

Takes meeting notes/minutes and provides translation support.
-
Supports other executives as requested by the President.
General Affairs
-
Performs general office duties, including greeting visitors and ordering food for guests, parties, and events.
Experience:
