JOB SUMMARY:
We are seeking a detail-oriented Administrative Assistant to join our team. The ideal candidate will provide administrative support and assistance across various departments within the organization. Maintain records of pesticide applications, post Restricted Entry Interval (REI) notifications according to Worker Protection Standard. Communicate with workforce about REI and pesticide applications. Assist corporate Controller with accounting data entry and maintain responsibility for keeping a financial accounting of all transactions for Accounts Payable
RESPONSIBILITIES:
- Gather records of applications of restricted use pesticides on crops.
- Maintain records of applications including REI, EPA registration, PHI, date and time, location of application. (Excel)
- Posts REI forms and maintains postings for the growing season.
- Review spray records weekly and provide final spray records to buyers.
- Assist with harvest activities, maintaining records, and reconciling delivery receipts.
- Assist with certifications and compliance for the farm such as, Good Agricultural Practices, Organic MRI, and MAEAP.
- Comply with all Good Agricultural Practices certification rules.
- Oversee posting of raw product records received at harvest and report to management. File all receiving tickets and reconcile records at the end of harvest.
- Track and keep records of various inventories, such as fuel usage and chemicals.
- Display professionalism when working with vendors and public.
- Seek approval on invoices and enter payables within our accounting program (QuickBooks). Pay bills, post deposits, research vendor statements and follow up on any discrepancies. Identify independent contractors who provide services and collect W-9 and certificate of liability.
- Provide clerical assistance to other departments as requested by managers, such as monthly (profit and loss vs budget) comparative financial reports.
- Organize filing systems and maintain the office in a presentable manner.
- Acknowledge all incoming calls and visitors with a prompt and friendly greeting.
- Perform other work-related duties as assigned by supervisor.
EDUCATION, TRAINING, AND SKILLS REQUIRED:
- High School Diploma
- Experience with MS Excel, MSWord, and QuickBooks
- Ability to communicate effectively in both oral and written form.
PREFERENCE FOR:
- Bi-Lingual (English/Spanish)
- Bachelor’s degree in Accounting or 2-3 years accounting/bookkeeping experience.

- Possess high degree of business and personal integrity.
- Organized, efficient, with excellent follow-up skills.
- Ability to read and interpret information.
- Good math skills.

Pay: $38,520.93 - $46,390.79 per year
