Remote work from home Admin/Scheduler position for a company that provides therapy to special needs children. Can be part-time 20-25 hours or full time 35-40 hours a week depending on what you are looking for, however the minimum 20 hours per week. ***While this is a mostly remote/work from home position, the candidate must reside in South Florida area, and be able to attend team meetings in person 3-4 times a year to meet new incoming therapists.
Responsibilities include:
- Filling out school forms and paperwork for our therapists that work with special needs clients
- Scheduling for therapists, creating training schedules for new therapists
- Onboarding new employees. Ex. sending out job offer emails, entering their information into our online database, setting up background checks, emailing and making calls to schools, camps and parents.
- Sending out monthly employee recognition emails along with gift cards.
- Sending Birthday emails.
- Scheduling interviews with HR for new employees (this includes gathering preliminary information about employees location, hours of availability, certifications and experience.)
- Making sure employee schedules are accurate in our scheduling system and they are entering their notes for each session.
- Create step by step guides on how to use our systems.
- Create basic flyers for employee and client events.
- Help plan events for team meetings (reserve location, gather info on menus and prices, purchase therapy materials on Amazon for the team meetings)
- Help plan children events for clients and reserve locations.
- Must have basic experience in Excel, Word and apps like SignRequest/Dochub for electronic signatures on forms.
- Experience with Adobe is a plus, but not a requirement. Can train on how to fill out online forms.
We are willing to invest in training the right candidate who is computer savvy and a quick learner! Must be someone that is organized and can juggle multiple step instructions in a variety of tasks.
Qualifications
- Proficient in Microsoft Office suite, particularly Microsoft Excel
- Strong organizational skills with attention to detail
- Previous administrative experience preferred
- Excellent communication and customer service skills
- Ability to multitask and prioritize tasks effectively
- Familiarity with office management systems and procedures
- Knowledge of data entry and calendar management
