POSITION SUMMARY: The dental receptionist is the key public relations person for the dental office. The dental receptionist must try to understand and fulfill patient needs and requests while at the same time trying to arrange a full, efficient, and workable daily schedule for the entire dental staff. The dental receptionist must put the patient at ease while at the same time discussing such delicate matters as money owed, insurance and registration information, health conditions and triage of dental emergencies. In addition, the receptionist updates charts and computer patient information, figures charges, does posting, bookkeeping and statistics. The dental receptionist is responsible for some light typing and computer data entry. The receptionist is also often on the front lines enforcing dental office policies regarding patients. The Dental Receptionist may be required to assist in clean-up of operatories and sterilization tasks.
General Qualifications.
a) Minimum two — years experience. (preferred)
b) Requires current certification, or ability to obtain certification in CPR.
c) Ability to read, analyze, and interpret dental terminology and procedures.
d) Ability to pass a Pre-Employment drug screen and criminal background check/ fingerprinting in accordance with all applicable laws regarding the nature of the employment.
e) Requires discretion, confidentiality, resourcefulness, and good judgment in handling functions of a sensitive nature.
Daily duties
a) Duplicate (2) copies of daily schedule for doctor. See that schedules are posted on providers’ desks, in other appropriate places.
b) See that all charts have been drawn for the day.
c) Be sure charts are arranged in proper order in daily rack and attach uperbills to front of each chart.
d) Check to see that all the previous day’s work was completed, she balanced, deposit reviewed by fiscal statistics turned into the staff dentist.
e) Check patients charts for completeness of all forms, all information current. For new patients, assist them with registration and health history forms, as needed, assemble charts.
f) Inform dental assistant of patient arrival and put chart in drop box.
g) Answer the telephone, handle inquiries, triage emergencies according to protocol.
h) Determine new patient eligibility according to guidelines.
i) Enforce office policies regarding no shows, cancellations. Provide information about services available, other policies.
j) Make all patient appointments by dental office appointment guidelines. (Write name, procedure, date of birth, and phone number in appointment book). Keep in mind that appointment times must accommodate lab schedule if lab work is involved.
k) Make necessary financial arrangements with patients in coordination with the business office: Compute charges, collect and record all receipts.
l) Make patient telephone confirmation. If lab case involved, checks to see that case has been delivered. Reminds patient of any requirements needed to be met before the appointment; medical clearance, taking pre-med, etc.
m) As each patient leaves. return the super bill to the front desk, receptionist enters services, charges, and fees in computer.
n) Complete daily/weekly statistics for data for dentist.
o) Other duties as directed by the dental director.

a) Conduct Medi-Cal and private insurance follow-up.
3. Monthly Duties
a) Statistics completed and handed in to business manager.
b) Confirm all meetings.
c) Actively attend all dental department meetings and general staff meetings.
4. Annual duties
a) Attend dental continuing education.
b) Participate in annual staff evaluation and career mobility plans.
c) Review personnel policies.
