Caruso Construction is looking for a highly organized and detail-oriented administrative assistant to keep our office running smoothly and efficiently. This is a great opportunity to assist our employees with diverse projects and provide general administrative support. Construction knowledge is beneficial.
Responsibilities include:
- Answer phones and greet visitors
- Schedule appointments and maintain calendars
- Schedule and coordinate meetings
- Collate and distribute mail
- Prepare communications such as memos, emails, invoices, reports and other correspondence
- Write and edit communications, from letters to reports and instructional documents
- Create and maintain filing systems, both electronic and physical
- Manage accounts and perform bookkeeping
- Assist with Payroll
- Establish and maintain relationships with new and existing vendors
- Marketing materials
Requirements and skills
- 2-3 years of experience as an administrative assistant or similar role.
- Experience with Foundation Accounting Software is beneficial, but not required.
- Experience with Adobe Illustrator and website maintenance is beneficial, but not required
- Decision-making: administrative assistants need to make independent decisions on a daily basis, addressing the best way to handle specific tasks.
- Communications and collaboration: An administrative assistant must collaborate with other administrators and support personnel, management, and clients on a regular basis.
- Organizational skills: Being well-organized is essential.
- Writing: Must have the ability to write professionally with proper spelling and grammar.
Job Type: Full-time
Pay: $20.00 - $25.00 per hour
