Job Overview:
We are seeking a dedicated Practice Manager to oversee the daily operations of our private practice. This role is crucial in supporting all clinical services and ensuring the quality of care provided to our patients. The ideal candidate will be responsible for managing day-to-day operations, staff and provider scheduling, onboarding and training staff, and maintaining a safe, clean, and efficient working environment.The ideal candidate will have a strong background in healthcare management and possess excellent organizational and leadership skills.
Experience:
- Proven experience in managing a medical practice or healthcare facility
- Familiarity with medical terminology and procedures
- Strong background in utilization management and clinician leadership
- Proficiency in utilizing software systems like Eaglesoft for practice management
- Knowledge of human resources practices within a healthcare setting

Work Schedule:

Responsibilities:
- Support all clinical services to enhance the quality of care provided to all patients.
- Comply with company policies, regulatory and safety standards, and code of conduct.
- Create and facilitate a healing environment for patients, staff, and providers.
- Represent company interests and image to the community.
- Maintain a safe and clean working environment.
- Uphold company vision and values.
- Manage patient scheduling (authorizations, etc.) for clinical appropriateness and productivity.
- Manage practice reputation and customer feedback initiatives.
- Manage staff scheduling for proper coverage and support for providers.
- Manage providers' scheduling to ensure schedules are at capacity.
- Ensure coverage is provided when staff or providers are on vacation or call out sick.
- Onboard and train new and existing staff on all clinical and operational matters for quality control.
- Helping our billing department by reconciling outstanding accounts and collecting payments before scheduling.
- Minimize clinic/provider driven patient rescheduling.
- Account for and place orders for all medical supplies to ensure proper inventory.
- Audit clinical charts/documentation and ensure quality.
- Be available to all staff and clinicians throughout the week as they have questions and want to meet via Zoom or Slack.
- Review time sheets for proper documentation and referral measures.
- Ensure that all co-pay (cash) collections are logged and processed appropriately.
- Generate weekly staff accountability and performance reports for management.
- Implement protocols for predictable unplanned events.
- Troubleshoot unpredictable unplanned events that may occur.
- Conduct morning huddles and prepare staff/facility daily to avoid communication issues.
- Responsible for patient flow, time management, and customer service.
- Aid in local marketing efforts with community networking and representing the company.
- Ensure overall patient satisfaction and experience.
- Ensure each facility is clean and organized to deliver quality care, will collaborate with practice lead in each location.
- Supervise clinical and non-clinical co-workers, supporting operational initiatives.
- Coach and mentor a multi-disciplinary team of 25+.
- Lead the execution of operational initiatives within a timely fashion.
- Problem-solve team member and patient problems in the moment.
- Advocate for your clinic, team, and patients.
- Be an ambassador in the local community, building relationships with other healthcare providers, social/community organizations, and marketing partners.
- Support and contribute to on-the-ground marketing initiatives.
Qualifications:
- 2 or more years of experience in a supervisory role within a clinical setting.
- A passion for mentorship and team development.
- A problem-solving orientation and eagerness to identify process gaps and implement practical solutions.
- A flexible and positive attitude.
- A proactive and adaptable working style, able to cover tasks as they arise.
- Impeccable judgment and maturity.

Job Type: Full-time
Pay: $55,613.00 - $68,567.00 per year
