Job Title: Front Desk Receptionist
Job Summary:
We are seeking a professional and friendly Front Desk Receptionist to join our team. The ideal candidate will be the first point of contact for our organization, providing exceptional customer service to clients and visitors. The Front Desk Receptionist will handle a variety of administrative tasks and ensure the smooth operation of the front desk area.
Reports to: Finance Manager
Attire: Business Casual – Green top is preferred. Strive to always appear neat, clean, and tidy.
This role provides excellent customer service and produces efficient and effective results in five primary areas:
- Financial Manager assistance
- Director of Business Development assistance
- Shared Service Manager assistance
- General Executive Team assistance
- General office receptionist responsibilities
Expectations by which this position will be measured:
- Exemplify mission and core values of the company.
- Forwarding all emailed vendor invoices to the cost inbox. Open US Mail then scan and email these few mailed invoices to the BuilderTrend cost inbox as well.
- Setup the invoices for coding by adding the following. Vendor Inv Number, Vendor Name, project name, PM name, verifying amount is correct.
- Turning the invoices (once coded by PMs) into AP bills and submit them to QB for payment.
- Open and process all other US Mail
- Make trips to the bank for check deposits, etc.
- Preparing checks to be mailed (just a few per week)
- Entering in new client info to BuilderTrend/ job set up
- Contracts: set up, filing
- Sales meeting notes - input to HubSpot/ BuilderTrend/
- Owning conference room schedule and preparing the room for meetings
- UPS/ Fed Ex/ USPS delivery and distribution
- Trash and general oversight of weekly housekeeping of office
- Maintain office supplies and coordinate maintenance of office equipment
- Welcome and direct visitors and clients
- First point of contact to answer the main phone when in the office
- Fill out client intake sheet from prospect calls to the office
- Assist executive staff as needed
- Coordinate and pick up meals as needed for company/ client meetings
- In concert with the shared services manager, coordinate and schedule travel, meetings and appointments for managers and supervisors.
- Christmas cards assistance
- Clothing Orders and clothing logo management
- Attend staff meetings and training as required.
- Other tasks as directed.
Financial: 10-15 hours per week
Sales: 2-4 hours per week
Shared Services: 2-4 hours per week
Executive: 2-4 hours per week
Job Type: Part-time
Pay: $18.00 - $20.00 per hour
Expected hours: 20 – 30 per week
