Essential Duties & Responsibilities
To perform this job successfully, the candidate will be able to achieve consistently the following duties and responsibilities:
Strategic Oversight
· Oversees all operational and administrative systems, processes and infrastructures while looking for opportunities for improvement or revision
· Anticipates and tracks operational and organizational risks and provides strategic solutions
· Works closely with the CEO and other members of the senior leadership team to implement change, control processes and conduct long-term planning and analysis
· Works closely with legal team to ensure compliance at all organizational levels
Human Resources
· Acts as a direct resource to the CEO in areas of staffing, training, performance management, occupational health and safety, employee wellness and labour relations
· Responds to all human resource enquiries
· Partners with the CEO to identify staffing needs; executes full-cycle recruitment; ensures the selection of qualified candidates through fair and legal processes
· Ensures all employees are provided with appropriate onboarding and training materials
· Provides counselling and advice to the CEO on performance management processes and issues, such as evaluation, engagement, recognition, coaching, and attendance
· Oversee and updates the Employees Benefits Program
Financial Management
· Supports the financial strategy through budget forecasting and management in order to best align with the organization’s mission, principles, and values
· Supports the development and implementation of short and long-term financial management goals, policies, priorities, and procedures relating to the operational budget and accounting
· Ensures effective quality and risk management practices are developed, implemented, and evaluated to minimize organizational risk
· Ensures all legal and regulatory documents are filed and compliant with laws and regulations
· Supervises the work of the Accountant and external consultants in this area.
Member Services
· Supports the Manager of Communications and Engagement in ensuring the development of member services is in line with core mission and values.
· Works with the Manager of Communication and Engagement on ensuring that security in terms of information management is upheld in terms of membership lists.
· Ensures compliance with all provincial and federal legislation in terms of membership list usage.
· Works with the College to ensure the necessary agreements are in place to facilitate member data collection.
Facilities and Information Technology Management
· Ensures the effective functioning of the office, including providing an efficient and safe working environment for all employees.
Event and Project Coordination
· Plans and coordinates the implementation, monitoring, and evaluation of all internal projects
· Designs and facilitates stakeholder meetings and/or events
· Manages internal Board events (e.g. AGM/Elections)
· Manages and supports project partnerships
· Supervises the work of project coordinators and external consultants in this area.
Strategic Communications
· Develop, implement, and evaluate the annual communications plan and annual report.
· Lead the generation of online content that engages audience segments and leads to measurable action. Decide who, where, and when to disseminate.
· Oversees social media and other outbound, multi-modal communications platforms
· Put communications vehicles in place to create momentum and awareness as well as to test the effectiveness of communications activities
· Manage the development, distribution, and maintenance of all print and electronic collateral including, but not limited to, newsletters, brochures, and the NNPBC website
· Coordinate webpage maintenance—ensure that new and consistent information (article links, stories, and events) is posted regularly by working closely with the Manager of IM/IT and Design
· Track and measure the level of engagement within the network over time.
· Manage development, distribution, and maintenance of all print and electronic collateral including, but not limited to, newsletters, brochures, annual report, e-newsletters, and NNPBC’s website
· Coordinate and organize annual meetings that engage the network's discreet audiences
· Manage all media contacts
· Supervise the work of the Communications Specialist.
Job Type: Full-time
Pay: $135,000.00 - $145,000.00 per year
