About the Opportunity:
We are currently seeking a Front Desk Administrator to serve as the welcoming face of our clinic, managing daily front desk responsibilities and providing administrative and patient services. Job responsibilities:
- Effectively communicate the organization's services, staff credentials, and programs, ensuring clear understanding and promoting sales of services and products in a positive and engaging manner.
- Foster positive patient experiences through empathetic and attentive care.
- Proactively assist patients and anticipate their needs.
- Ensure thorough preparation for patient visits to deliver exceptional service.
- Complete all necessary paperwork accurately and address patient inquiries promptly.
- Ensure a clean, organized, and welcoming environment for patients and guests.
- Maintain detailed and accurate patient records with confidentiality and compliance in mind.
- Adhere to HIPAA guidelines and regulations to safeguard patient privacy.
- Manage incoming and outgoing correspondence, including email communications, sorting and distributing mail, and handling FedEx and UPS packages promptly and efficiently.
- Manage inventory levels and place orders for office supplies as needed
- Provide general office support and assist the Executive Director as needed.
- Facilitate timely processing, distribution, and tracking of all necessary documentation for optometrist review and signature.
- Assist with scheduling appointments when necessary.
- Answer telephones, field questions, and direct the caller to the appropriate person.
- Process payments and deposits
- Consistently demonstrate the ability to respond to changing situations, reprioritize work as needed, and minimize non-productive time by engaging in activities that support the organization's business goals and objectives during slow periods.
Qualifications:
- Minimum of a high school diploma or GED required.
- Minimum of 2 years of experience managing a front desk, preferably in a clinic setting.
- Proficiency with Microsoft Office.
- Effective communication skills, both written and verbal.
- Strong interpersonal skills with demonstrated empathy and etiquette.
- Knowledge of healthcare insurance benefits and coverage preferred.
- Experience with or ability to learn software applications, including EMR and accounting software. (Experience with RevolutionEHR and Quickbooks a plus)
- Exceptional ability to multitask while maintaining meticulous attention to detail.
- Highly self-motivated with the ability to thrive both independently and collaboratively within a team environment.
- Capability to sit for extended periods of time while performing administrative tasks and assisting patients at the front desk.
- Physical requirements: Ability to lift up to 50 pounds as needed for tasks such as moving equipment or supplies.
