Position: Ophthalmic Front Desk Receptionist
Reports to: Practice Administrator
Position Description:
The Front Desk Receptionist is the first point of contact and access for patients seeking appointments and information from both, Alabama Eye and Cataract Center, P.C. and Michelson Laser Vision, Inc. The Front Desk Receptionist is considered the customer service voice of both practices and must communicate a warm, friendly and professional tone as they direct incoming calls to the appropriate coordinator and/or scheduling resource person within the practices.
Primary Duties and Responsibilities:
- “Meets and greets” patients accessing the practices via check-in, check-out and selected direct phone lines, as well as from phone tree selects programmed into the practice phone system.
- Establishes the reason for the call and how best to help and direct the caller to the most efficient and skilled resource to handle the patient call.
- In the event the appropriate internal resource is not available, establishes a firm call back time expectation and contact number for the caller.
- Delivers phone messages in a timely and accurate manner to appropriate individuals within the practices.
- Confirms that “hand-off” individual has met the customer service standard for call back time and patient satisfaction.
- Maintains patient confidentiality at all times.
- Cooperates and communicates with all staff members and physicians about patient matters.
- Check patients in for appointments; verify insurance and obtain updated and proper demographic information at each visit for entry into the electronic medical record, collect co-payments and patient balances
- Place charts in the rack in order of appointment time for technicians to workup.
- Ability to schedule appointments with outside physicians for patients referred outside the practice.
- Scan demographics, patient forms and identification cards in the electronic medical record. Obtain patient pictures and save to the electronic medical record
- Keep the reception/waiting area clean at all times.
Duties and responsibilities may be added, deleted or changed at any time at the discretion of the management, formally or informally, either verbally or in writing.
Position Requirements:
- Knowledge of medical practice procedures and functions preferred.
- Knowledge of insurance and billing procedures including Medicare, Medicaid and Managed Care Plans.
- Previous experience with telephone systems and office equipment including copiers, adding machines, fax machines and computers.
- Knowledge of medical records policies including state and federal compliance.
- Knowledge of medical terminology required.
- Good oral and written communication skills
- Ability to develop and maintain effective and professional working relationships with patients, medical staff, coworkers and the public.
- Ability to react calmly and effectively in emergency situations.
- Ability to interpret, adapt and apply guidelines and procedures.
- Ability to work with a diverse population, demonstrating patience and professionalism
- 6 months previous experience in a medical office or clinic setting; family practice experience preferred.
Minimum Education and Experience
- High school diploma or GED.
- Alphabetization and spelling skills a must.
- Two years of work experience, some of which is preferably in a medical office setting and customer service environment.

- Position requires accuracy, thoroughness, and an understanding of phone systems.
- Work is fast paced and multi-tasked.

- Obtain insurance referrals when required.
- Ability to schedule, reschedule and confirm appointments.

- Well-organized with attention to detail and follow-up.

Physical/Environmental Requirements
- Must be able to stand, reach, bend and squat repeatedly during the day.

- Must have manual dexterity to file.
Job Type: Full-time
Pay: $18.00 - $20.00 per hour
Expected hours: 38 – 40 per week
