BROAD SCOPE OF POSITION: Manage the daily, weekly, and monthly administrative functions of the Independent Living front office, with reporting and processing support for the assisted living community as well. Provide administrative support to the Executive Director and other community leadership.
ESSENTIAL JOB FUNCTIONS:
· Hire, supervise, train and schedule Assisted Living (AL) reception staff and all other IL staff.
· Identify additional job assignments for reception staff, including night staff.
· Oversee the scheduling of IL housekeeping.
· Schedule meetings for the Executive Director
· Create remote check and bank deposits through the online banking Portal.
· Oversee the tracking of IL and AL ancillary services, including home health, meal delivery and guest suite charges.
· Add ancillary charges through the resident AppFolio (accounting) system.
· Create Activity and Administrative expense reports monthly for the Executive Director to review and submit.
· Manage Independent Living Petty Cash
· Respond quickly to calls that are elevated from the reception desks.
· Ensure that IL Incident Reports are referred to the Executive Director and other community leads as indicated, and file reports in resident files.
· Oversee the completion of IL resident move-out forms.
· Assist the Executive Director in the completion of AL and IL new employee files for accuracy and regulatory compliance.
· Assist the Executive Director in all AZDHS compliance for the community.
· Ensure compliance and understanding of all resident’s rights issues.
· Anything else assigned by the Director

EDUCATION OR QUALIFICATIONS:
· Must be able to relate positively and cooperatively with residents and staff.
· Must be capable of maintaining full-time attendance and be available by phone seven days a week.
· Able to obtain or hold AZDHS Assisted managers license
EXPERIENCE:
· Knowledge or experience in senior housing or long-term care preferred.
